Cogent have an exciting opportunity for a Data & Compliance Coordinator who is responsible for ensuring the accuracy, integrity and compliance of all learner data within the apprenticeship provision. This role will support the organisation in meeting funding and regulatory requirements by maintaining high quality data, monitoring compliance against relevant funding rules and ensuring audit readiness.
Working under the guidance of the Data and Compliance team, this role will assist in processing data, resolving basic errors and supporting reporting activities, helping to minimize compliance risk and ensure the organization meets its funding obligations.
Hybrid - 3 days a week in Warrington Office

Key Responsibilities:
· To carry out general team administration duties with accuracy and attention to detail, to include meeting minutes and actions.
· Maintain and update accurate learner and programme data within the Management Information System (MIS) in a timely manner.
· Carry out regular data quality checks and validations to ensure completeness, accuracy, and consistency of records.
· To provide administration support to the Exams Officer in line with awarding body and End Point Assessment requirements.
· Support the preparation and submission of Indivualised Learner Records (ILR) data, including identifying and resolving errors.
· Monitor learner records to ensure all required compliance documentation is present, accurate and up to date.
· Ensure adherence to apprenticeship funding rules and internal compliance procedures.
· Assist in preparing for internal and external audits by maintaining clear, well organised, and audit ready documentation.
- Produce regular and ad-hoc reports on learner data, performance, and compliance for internal stakeholders.
- Investigate and resolve data discrepancies, working with relevant teams to implement corrective actions.
- Work collaboratively with delivery, quality, and finance teams to ensure accurate data capture and reporting.
- Provide guidance and support to staff on data entry processes, compliance requirements, and best practices.
- Ensure all data is handled in line with data protection legislation and organisational policies.
- Manage workload effectively to meet key deadlines, including funding submissions and reporting cycles.
Key Performance Indicators
· Data Accuracy Rate: maintain a high level of data accuracy across all learner records within the MIS.
· Timeliness of Data Entry: Ensure all learner data and updates are entered within agreed timeframes.
· ILR error resolution: Percentage of ILR errors resolved within set deadlines prior to submission.
· Audit Outcomes: Minimal audit findings or errors attributable to data administration, with prompt resolution of identified issues.
· Data validation checks: Completion of schedule data quality checks in line with internal timelines and procedures.
· Reporting: Timely and accurate production of routine reports to internal stakeholders.
Essential Knowledge Skills and Qualifications
· Strong attention to detail.
· Proven experience to communicate effectively at all levels (internal and external).
· Proven administration skills with high accuracy and attention to detail.
· Excellent IT skills and experience including Excel, PowerPoint, Word, and Outlook.
· Ability to work on own initiative and as a team member.
· Organised, methodical approach, able to respond to frequent demands of multiple customers.
· Excellent organisational and time management skills.
Desirable Knowledge Skills and Qualifications
· Experience and knowledge of Apprenticeship and FE delivery.
· Experience of DfE funding guidance and audit requirements.
· Familiarity with data protection regulations.
Please note this role would be subject to DBS requirements due to the nature of the business as an Apprenticeship Delivery Organisation.
