Established in 2014, Sales & Lettings Angels has been serving landlords, tenants, buyers, and sellers across Cardiff for over a decade. Operating from our vibrant office on Woodville Road in Cathays (just a 5-minute walk from Cathays train station), we pride ourselves on providing expert, transparent, and comprehensive property management and sales services. 2. THE ROLE & CAREER PATH

We are seeking an organized, proactive "Admin Wizard" to serve as the operational backbone of our Woodville Road branch. Because this role involves managing physical key collections, welcoming walk-in clients, managing local agency software, and overseeing front-desk operations, this is a 100% office-based position with no remote or work-from-home availability.

* CAREER PATH NOTICE: This role is tailored specifically for an administrative specialist. It is not a trainee sales/negotiator position, but offers genuine long-term progression toward an OFFICE MANAGER role for an administrator who excels at system management, workflow coordination, and branch support.

KEY RESPONSIBILITIES: First Point of Contact & Office Coordination: Welcome walk-in clients, handle telephone calls, respond promptly to email enquiries, manage branch post/supplies, and maintain team calendars.

Tenancy Renewals & Rent Reviews: Track upcoming fixed-term tenancy expirations, liaise with landlords and tenants to agree renewal terms, issue statutory notice paperwork, and update records. Tenant Swaps (Change of Sharer / Assignments): Process incoming/outgoing tenant requests—managing landlord consent, referencing replacement sharers, preparing assignment deeds, and ensuring deposit protection records remain compliant.
Pre-Qualification & Viewings: Screen prospective buyers and tenants against objective criteria (budget, move-in timelines, chain status) and schedule viewing appointments for negotiators.
Referencing & File Progression: Liaise directly with referencing providers, guarantors, and conveyancing solicitors to progress files efficiently from initial offer to completion/tenancy start.
Move-Ins, Key Handovers & Compliance: Coordinate check-in schedules, maintain branch key logs, and verify all statutory compliance checks (Right to Rent, AML, Gas Safety, EPCs) are complete.

3. WHAT WE ARE LOOKING FOR ESSENTIAL CRITERIA:

Proven administrative experience within a property, sales, or lettings environment.
Strong working knowledge of tenancy administration (renewals, referencing, tenant swaps).
Comfortable working in a dog-friendly office environment with pets present daily.
Excellent organizational and multi-tasking skills with the ambition to grow into an Office Manager.
Professional front-of-house presence with clear written and verbal communication skills.
Proficiency using standard agency CRM software (e.g., Reapit, Alto, Jupix) and Microsoft Office.
Full availability to work the required schedule (Mon–Thu 8–6, Sat 10–2) on-site on Woodville Road.

DESIRABLE CRITERIA:

Industry qualifications or certifications (e.g., Rent Smart Wales license/training, ARLA/Propertymark).
Familiarity with student and professional rental markets in Cardiff.
Knowledge of the Tenant Fees Act regarding capped variation fees for change of sharer requests.
