About the role
To provide administrative and operational support to the HR team, ensuring the smooth delivery of HR services. The role focuses on HR administration, maintaining accurate employee records, supporting payroll processes, and assisting with employee lifecycle activities. The HR Support officer plays a key part in helping the HR services team deliver an efficient and professional service to employees and managers.
Your day-to-day work will include:
- Prepare standard letters and documents, maintain HR files and records, update trackers, and provide general administrative support to the HR team.
- Update and maintain HR Information System (HRIS), ensure employee details are accurate, produce routine reports, and provide user support where needed.
- Respond to routine HR queries from staff and managers (e.g. forms, policies, process guidance) and escalate more complex matters to HR Advisers.
- Administer the Instant Thank You Voucher Scheme, ensuring vouchers are processed and issued in a timely manner, in accordance with the Scheme Policy. Maintain accurate records, monitor voucher allocation and usage, and ensure compliance with organisational procedures.
- Collate and check payroll changes (e.g. starters, leavers, absence data), liaise with HR Advisers and Finance to ensure accuracy.
- Ensure employee records and HR files are up to date, support audits, and assist with policy updates and implementation.
- Raise purchase orders (POs), process HR-related invoices, maintain invoice trackers, and liaise with Finance to ensure timely payments and accurate records.
About the team
Internally: Work closely with HR Advisers, HR Services Manager, to support HR processes and initiatives. Collaborate with the Finance Team on payroll inputs, purchase orders, and invoice tracking. Provide routine HR information and support to line managers and staff, escalating more complex queries to HR Advisers.
Externally: Liaise with payroll providers, occupational health, wellbeing providers, and other HR service partners to support smooth HR service delivery.
Who we’re looking for
You will be someone who:
- Ability to demonstrate literacy and numeracy skills, either through formal qualifications (for example GCSE English and Maths) or through practical work experience.
- Experience providing administrative support in a fast-paced environment, ideally within recruitment or HR.
- Strong organisational skills and ability to manage multiple tasks and deadlines effectively.
- Excellent written communication skills and strong attention to detail.
- Curious mindset with the confidence to challenge existing processes and contribute to continuous improvement.
- Familiarity HR systems (e.g. iTrent or similar platforms).
- Proficient in using Microsoft applications including MS Lists, Power BI
- Basic understanding of HR processes
