The Logistics Coordinator is responsible for overseeing all aspects of the Logistics chain, ensuring the flow of materials and equipment from suppliers to internal and external customers and subsequent return, utilising Logistical knowledge to navigate and orchestrate transport and customs procedures in a compliant manner.
Duties and Responsibilities:
Plan and track the shipment of equipment ensuring all shipments are process in accordance with the companies Export Compliance Manual
QC of despatch notes for equipment and import/export commercial Invoices
Liaise with Freight Forwarders to ensure efficient shipping of Subsea equipment
Obtain export and import entries to complete logistical files required to satisfy audit requirements
Provide logistical and compliance knowledge to operation teams and identify means of shipping equipment
Liaise with workshop and operations colleagues to ensure the efficient and accurate control of imports and exports, confirming full compliance with company and legislative requirements.
Check and validate all freight and packing invoices for import/export items.
Liaise with client agents and Acteon approved agents to ensure most efficient routings for initial export and return shipments
Liaise with in country contacts to stablish best protocol from a cost and compliance perspective
Regularly review equipment tracking system for errors and improve accuracy provided by the system
Ensuring tracking system is updated at time of dispatch
QC of goods returning manifests to ensure temporary exports are closed you correcting with minimum errors and return imports are correct minimising amendments
Ensure import and export documents are checked and filed in line with government requirements
Adhere to company policies procedures and business ethics codes including but not limited to, anti-bribery and foreign corrupt practices and ensures that they are communicated and implements.
Assist with Audit preparation and monthly reporting
Assist with Licence applications and reviews
Assist with Trade Compliance matters where necessary
Perform other duties as reasonably assigned by Logistics lead
Requirements:
Minimum of 3 years’ experience shipping, freight forwarding or similar
Minimum of 6 standard grades or equivalent including English and Maths
Familiar with US, EU and UK Export licence controls
Knowledge of Trade Compliance basics
Knowledge of Import regimes IE IPR/RGR/ Duty Paid
Familiar with Dangerous Goods Handling
Comprehensive understanding or shipping practices and handling methods
Proven Imports and Export track record with international logistics
Experience within a busy environment with fluctuating activity levels
Able to prioritise work in a fast paced changing work environment
ERP System Experience beneficial
