Role summary
As Administrative Officer you will support the work of Elim in Ireland HQ through providing efficient and effective administrative support to the office. This will include providing support to the Finance Officer as well as executive and administrative support to the Irish Superintendent and Executive Officer.
We are seeking a dedicated and compassionate individual with experience of providing administrative/executive support in a busy setting. The post-holder will need to become familiar with the administrative systems used by Elim in Ireland HQ and act as a contact point for our churches across Northern Ireland and in the Republic of Ireland on a range of matters ensuring they are directed to appropriate colleagues within the organisation.
The nature of the role means that it is office based.
The nature of this role requires some flexibility in terms of working hours and place of work and will include travel around the island of Ireland as necessary. It will require occasional weekend and/or evening hours with occasional nights away from home including attending some of Elim’s events such as Irish Conference, Wondrous Bible week, and Flow.
Job Description
Administrative support
· Act as the first point of contact, for Elim in Ireland HQ managing phone calls, e mails and visitors to the office and responding or directing to appropriate colleagues.
· To check and process all applications received from Elim churches for AccessNI liaising with Regional Safeguarding Lead in line with our policy and processes.
· Maintaining databases and contact lists for Elim in Ireland HQ and its departments. Sending of approved postal, direct e mail, social media, web updates and Elim’s intranet (Elim Hub) to Elim Churches in Northern Ireland and the Republic of Ireland.
· Ensure all electronic and paper files are maintained and disposals managed in line with Elim’s data protection policies.
· Support with diary management for Irish Superintendent and Executive Officer as required. Prepare for, and support, meetings in Irish HQ including room set-up, catering and clear up.
· Support for Irish Superintendent arranging travel for NLT meetings and other conferences and events. Prepare and submit expenses for reimbursement.
· Support for Elim in Ireland events such as Irish Conference, Wondrous, Advance, Relentless including management of responses, liaising with venues, caterers, and contractors.
Finance
· Provide support to Finance Officer in preparation and analysis of local church accounts and year-end accounts. Preparation and administration of Elim in Ireland HQ gift aid claims.
· Develop the knowledge of systems to enable you to deputise for Finance Officer in processing payments, lodgements and inputting information to the Sage finance system, as required.
· Work with Elim Ireland Corporate card holders to reconcile monthly accounts with receipts and allocations to cost centres.
Facilities Administration
· Facility management within Irish HQ including liaison with landlord, contractors and suppliers as required.
· Working with colleagues to ensure that offices remain clean and bins and recycling are cleared.
· Any other duties as required for the purposes of the operations of the office.
The Person Specification
Knowledge, Experience and Skills
· Experience of strong administrative skills with experience of supporting senior leaders in execution of their roles and responsibilities.
· Evidence of excellent written and oral communication skills and ability to prepare information in understandable language.
· Experience of using the Microsoft suite of programmes including Outlook, Word, PowerPoint, Excel or equivalent programmes as well as proficient internet usage.
· Evidence of excellent interpersonal skills
· Experience of handling personal and sensitive information and ensuring compliance with the need for absolute confidentiality.
· Experience of providing support for events.
· Able to demonstrate a high level of enthusiasm, commitment and attention to detail
· Team player, co-operate with other staff to achieve results
Desirable
· Experience of providing support to a finance team or functions.
· Understanding of working with Sage or other financial accounting software.
· Experience of maintaining and using database software in managing relationships with key interest groups. Elim in Ireland uses various tools including IKnow software.

· Attendance at Wondrous Bible Week for administration, finance, work and guest support required on site.

· Ideally from an Elim background, with some understanding of the Elim ethos
