Hire Controller/Pick Up Driver
Location: Banbury Depot and Front Counter Reporting to: Depot Manager
Hours: Full-time, 7:00 - 17:00 Monday to Friday (and 1 in 3 Saturdays)
Role Overview
Greenplant is a plant and tool hire business. We rent out equipment ranging from 13 Tonne Excavators to hand drills to both trade and DIY customers
The Hire Controller is a key customer-facing role based at the front counter of Greenplant's Wycombe depot. As the first point of contact for customers arriving at or contacting the depot, the Hire Controller manages the full hire cycle from initial enquiry through to off-hire and equipment return. This also includes being the delivery driver for some of the smaller kit, so a clean licence and experience of towing is essential
Working across both MCS Rental Manager and MCS Web, the role encompasses customer account management, order processing, payment collection, yard and workshop coordination, delivery and collection management, and inter-depot asset transfers. In addition the job will require driving company vehicles to deliver and collect items of equipment to the Banbury area as and when required. As our delivery driver you act as the mobile Hire Controller, the first person our customers meet in many cases, so you need to be personable, presentable and friendly.
This is a hands-on, fast-paced position requiring strong people skills, commercial awareness, and the ability to coordinate multiple workstreams simultaneously.
Key Responsibilities
Front Counter & Customer Service
- Serve as the first point of contact for customers visiting the Wycombe depot, providing a professional and knowledgeable welcome.
- Handle hire enquiries in person, by telephone, and by email — providing accurate product information, availability, and pricing.
- Register new customers on MCS, ensuring all account details, contact information, and credit terms are captured correctly.
- Build and maintain strong working relationships with existing customers and accounts.
- Handle queries, complaints, and damage disputes professionally, escalating where appropriate.
Order Processing & Payments
- Book hire agreements, extensions, exchanges, and off-hires using MCS Rental Manager and MCS Web.
- Take payments at the counter and by telephone, processing card transactions accurately and issuing receipts.
- Maintain accurate hire records including contract start/end dates, site information, and customer signatures.
- Assist with credit control as required, including chasing overdue balances and resolving invoice queries.
- Raise purchase orders for cross-hired (X Hire) equipment where Greenplant's own fleet cannot satisfy demand.
Yard Coordination & Order Picking
- Coordinate with yard staff to ensure orders are picked, checked, and prepared for hire or delivery in a timely manner.
- Confirm equipment condition and completeness, including confirming the equipment has been tested, prior to customer collection or despatch.
- Ensure all outgoing equipment is correctly documented on hire contracts, including attachments and ancillary items.
- Record equipment returned off-hire, noting condition and flagging any damage or missing items for charge-back.
- Record any equipment movements between depots, even if not for hire purposes
Deliveries & Collections
- Arrange and schedule customer deliveries and collections, liaising with transport to optimise routes and timing.
- Monitor delivery and collection progress, keeping customers informed of ETAs and any changes.
- Drive Company Vehicles (no more than 3.5T on a standard UK driving licence) and be able to tow trailers to deliver and collect items of hire equipment
- Ensure all delivery and collection paperwork is completed accurately, including proof of delivery and condition reports.
Workshop & Maintenance Coordination
- Liaise with the workshop team to schedule planned maintenance and report breakdowns or damage on returned equipment.
- Track equipment unavailable for repair, ensuring workshop turnaround times are monitored and hire availability is updated accordingly.
- Flag recurring equipment issues to the workshop supervisor and operations management.
Inter-Depot Transfers
- Coordinate the transfer of assets between Greenplant depots (Wheatley, Banbury, Wycombe) to meet demand and optimise fleet utilisation.
- Maintain accurate records of asset location across the depot network within MCS.
- Communicate transfer requirements clearly to transport and receiving depot staff to ensure smooth handovers.
Person Specification
Essential
- Previous experience in a hire desk, plant hire, tool hire, or similar customer-facing operational role.
- Competent user of hire management or rental software;
- Confident and professional manner when dealing with customers face-to-face and by telephone.
- High level of accuracy and attention to detail, particularly in contract documentation and payment processing.
- Strong organisational skills with the ability to manage competing priorities in a busy depot environment.
- Valid, clean, UK driving licence and towing experience
Desirable
- MCS Rental Manager and/or MCS Web experience is a strong advantage.
- Knowledge of plant, powered access, or construction equipment.
- Experience coordinating transport, yard operations, or workshop scheduling.
- Familiarity with the construction, facilities management, or groundworks sectors.
- Delivery Driver experience.
