Full job description

Role Overview

We are seeking a reliable and detail-oriented Accounts Assistant to support the finance function of a housing association. The successful candidate must have good bookkeeping experience, payroll knowledge, and the ability to use QuickBooks confidently.

The role will involve maintaining accurate financial records, processing invoices, supporting payroll preparation, carrying out reconciliations, assisting with rent and supplier records, and supporting the wider finance team with day-to-day accounting duties.

Key Responsibilities

· Maintain accurate bookkeeping records using QuickBooks.

· Post purchase invoices, sales invoices, receipts, payments, journals, and other financial transactions.

· Assist with weekly and monthly payroll preparation, including staff timesheets, payroll adjustments, holiday pay, deductions, pension information, and payroll reports.

· Support the preparation and submission of PAYE, pension, and other payroll-related information where required.

· Carry out bank reconciliations, supplier reconciliations, tenant/rent account reconciliations, and other control account reconciliations.

· Process supplier payments and maintain accurate supplier records.

· Assist with rent, service charge, and other housing-related income records.

· Support the preparation of VAT returns and other statutory returns where applicable.

· Maintain proper filing of invoices, receipts, payroll records, bank statements, and supporting documents.

· Assist with credit control and follow up on outstanding balances where required.

· Support the preparation of monthly financial reports and management accounts.

· Assist with audit preparation and year-end accounts by providing schedules, reconciliations, and supporting documents.

· Ensure all financial transactions are properly authorised and recorded in line with the organisation’s procedures.

· Provide general administrative support to the finance team.

· Carry out any other finance-related duties as reasonably required.

Required Skills and Experience

· Previous experience as an Accounts Assistant, Finance Assistant, Bookkeeper, or similar role.

· Good working knowledge of QuickBooks is essential.

· Payroll experience is essential.

· Good bookkeeping experience, including posting invoices, payments, receipts, journals, and reconciliations.

· Understanding of PAYE, pensions, payroll deductions, and payroll reporting.

· Experience in a housing association, charity, property, or not-for-profit environment would be an advantage.

· Good Excel skills.

· Strong attention to detail and accuracy.

· Ability to meet deadlines and manage workload effectively.

· Good communication and organisational skills.

· Ability to handle confidential financial and payroll information professionally.

Qualifications

· A degree in accounting, AAT qualification or equivalent qualification would be desirable.

· Payroll qualification or relevant payroll training would be an advantage.

· Relevant practical experience may also be considered.
