Receptionist / Service Advisor

Location: Wirral Automotive Services, 86 Shrewsbury Road, Prenton, CH43 6TF.

Job Type: Full-Time, Monday to Friday 08:00 to 17:30. Part time/flexible working considered.

Salary: Competitive, dependent on experience

About Us

We are a reputable and well-established independent Volvo specialist providing expert servicing, repairs, diagnostics, and maintenance to Volvo owners on the Wirral. We pride ourselves on delivering exceptional customer service, honest advice, and high-quality workmanship.

Role Overview

We are looking for a professional and organised Receptionist / Service Advisor to be the first point of contact for our customers. The successful candidate will be responsible for managing incoming calls, booking vehicles into the workshop, handling customer enquiries, processing payments, and supporting the smooth day-to-day operation of our business.

Key Responsibilities

Customer Service

Greet customers professionally in person and over the phone.
Handle incoming calls and respond to customer enquiries.
Provide excellent customer service and maintain positive customer relationships.
Communicate vehicle booking details and workshop updates to customers.
Follow up with customers regarding service reminders and outstanding enquiries.

Workshop Bookings & Administration

Schedule service, MOT, repair, and diagnostic appointments.
Manage the workshop diary efficiently to maximise productivity.
Create and maintain accurate customer and vehicle records.
Prepare invoices, estimates, and job cards.
Liaise with technicians regarding vehicle progress and completion times.
Ensure all paperwork is completed accurately and filed correctly.

Payments & Finance

Process customer payments via cash, card, and bank transfer.
Issue receipts and invoices.
Reconcile daily payments and maintain accurate financial records.
Assist with credit control and outstanding customer balances when required.

General Office Duties

Manage emails and correspondence.
Order office supplies and assist with administrative tasks.
Maintain a clean, professional reception area.
Support the management team with ad hoc administrative duties.

Skills & Experience

Essential

Previous experience in a receptionist, customer service, or administrative role.
Excellent telephone manner and communication skills.
Strong organisational and time management abilities.
Competent in Microsoft Office and computer-based booking systems.
Ability to work effectively in a busy environment.
Professional and friendly approach to customer service.
Good attention to detail and accuracy.

Desirable

Experience working within the motor trade or automotive industry.
Knowledge of vehicle servicing and repairs.
Familiarity with workshop management software.
Understanding of Volvo vehicles and servicing requirements.
