Full job description

Job Purpose

The Administrator provides general administrative support across the business to ensure the smooth day-to-day operation of the office. The role involves data entry, coordinating information between production, sales and accounts departments, handling reception duties, and maintaining accurate records within a corrugated box manufacturing environment.

Key Responsibilities

Administration & Data Entry

Input and maintain production, sales and accounts data within company systems.
Process and update customer orders and job information for the production team.
Maintain accurate digital and paper records of orders, invoices, and production documentation.
Prepare basic reports and spreadsheets as required.

Production Support

Assist with entering production orders and job details into the system.
Ensure production paperwork is completed and filed correctly.
Liaise with the production team to ensure order information is accurate and up to date.

Sales & Accounts Support

Input sales orders and customer information into internal systems.
Assist accounts with basic administrative tasks such as invoice logging, filing, and document preparation.
Maintain customer records and assist with order tracking where required.

Reception & Customer Service

Act as the first point of contact for visitors, customers and suppliers.
Answer and direct incoming phone calls and emails.
Handle general enquiries and pass information to relevant departments.

Scheduling & Bookings

Coordinate meeting room bookings and staff schedules where required.
Assist with arranging deliveries, collections, and appointments.
Maintain calendars for internal meetings and operational planning.

Filing & Record Management

Organise and maintain physical and electronic filing systems.
Ensure documents are stored accurately and can be easily retrieved.
Support document control for production and administrative records.

Skills & Experience

Previous administrative or office support experience preferred.
Good data entry and computer skills (e.g., Microsoft Office – Word, Excel, Outlook).
Strong organisational and time-management abilities.
Good communication skills with the ability to work with multiple departments.
Attention to detail and accuracy when entering data.
Ability to prioritise tasks and work in a busy office environment.
