Full job description

The Whiteley Clinic is a world-renowned Varicose Vein Clinic. We are a research-led clinic with a modern facility and a team of skilled specialists including Aesthetic Practitioners, Sonographers, and Consultant Surgeons.

Job Opening: Private Medical Secretary

Key Requirements:

Excellent phone etiquette
Administrative skills
Ability to multitask and organise
Willingness to learn
Confidence to support Front of House when needed

Main Duties and Responsibilities:

Answer incoming phone calls and provide excellent patient service
Book appointments and procedures using the clinic’s booking system
Assist with front desk duties including greeting patients and managing daily clinic operations
Input and update patient records
Handle deposits and payments, ensuring accurate entry into the system
Arrange follow-up appointments and send confirmations/reminders
Prepare patient files and paperwork for upcoming clinic days
Retrieve and organise patient notes as needed
Generate quotation letters when required
Assist with audiotyping and checking doctor’s letters via Lexicom
Attend training sessions to meet mandatory and personal development needs
Participate in annual performance reviews and goal setting

Terms and conditions

Permanent full time position with a probation period of 3 months
Attend training at our Guildford clinic.
Hours of work: Full time between 8-5:30pm, Monday to Friday (37.5 hours per week)
Salary: £24,500
25 days of annual leave + 1 day for your birthday and Bank holidays
