Job Title: Administration Assistant – Commercial Property Management Team
Location: Folkestone, Kent
Employment Type: Full-time, Permanent
Salary: Competitive, commensurate with experience

Smith Woolley is a well-established property, surveying and estate management practice based in Folkestone. We manage a diverse portfolio of residential, commercial and mixed-use developments, as well as estates and land holdings across Kent and the South-East.

We are known for providing a proactive, professional and commercially focused service with long term client relationships at the heart of what we do.

The Role

We are seeking a highly organised and proactive Administration Assistant to support our Commercial Property Management team.

This is a varied role, providing essential administrative support across a wide range of property and estate management activities. The role would suit someone with strong administrative experience who is keen to develop their career within the property sector.

You will work closely with Property Managers and the wider team to ensure the smooth running of day-to-day operations across the portfolio.

Key Responsibilities

· Providing administrative support to the Commercial Property Management team

· Managing and maintaining accurate property records and databases

· Handling incoming calls, emails and tenant queries professionally

· Assisting with the preparation of reports, letters and notices

· Processing invoices and supporting service charge administration

· Liaising with tenants, leaseholders, contractors and suppliers

· Scheduling maintenance works and tracking contractor attendance

· Supporting compliance administration, including health & safety records

· Assisting with property inspections and follow-up actions

· General office administration and filing duties

Skills & Experience Required

· Previous administrative experience (property experience desirable but not essential)

· Strong organisational skills and attention to detail

· Excellent written and verbal communication skills

· Ability to manage multiple tasks and prioritise workload effectively

· Competent in Microsoft Office (Word, Excel, Outlook)

· Professional and confident manner when dealing with tenants and contractors

· Willingness to learn and develop within the property management sector

· Team player with a proactive and flexible approach
