Property Administrator (Self-Employed)
Flexible Hours | £15 per hour + Mileage | 10-20 Hours per Month (Initially)
We are looking for a proactive, organised and trustworthy Property Administrator to support the management of our growing residential property portfolio. This is an excellent opportunity for someone with previous property administration or property management experience who enjoys working independently, has excellent attention to detail, and takes pride in delivering exceptional customer service.
Initially, the role will require approximately 10-20 hours per month, although this is expected to increase as our property portfolio continues to expand. The position is offered on a self-employed basis, providing flexibility around working hours, provided that all property matters are dealt with promptly and professionally.
About the Role
You will be responsible for the day-to-day administration and coordination of a portfolio of residential properties, ensuring that landlords and tenants receive a professional and efficient service.
You will work closely with the landlords, contractors, letting agents and tenants to ensure properties are well maintained, compliant with current legislation and that any issues are resolved efficiently.
Key Responsibilities
The successful candidate will be responsible for:
* Managing the day-to-day administration of a portfolio of residential properties.
* Acting as the first point of contact for tenants regarding maintenance issues and general enquiries.
* Liaising with landlords to provide regular updates on their properties.
* Coordinating maintenance and repair works with approved contractors.
* Obtaining quotations for repair and maintenance works where required.
* Arranging contractor access to properties and monitoring completion of works.
* Conducting periodic property inspections and producing written reports with photographs.
* Assisting with tenant check-ins and check-outs where required.
* Coordinating inventories, cleaning, gardening and property preparation between tenancies.
* Monitoring property compliance, including Gas Safety Certificates, Electrical Installation Condition Reports (EICRs), EPCs, smoke alarms and other statutory requirements.
* Keeping accurate electronic property records and maintaining organised filing systems.
* Assisting with marketing vacant properties, arranging viewings and responding to prospective tenant enquiries.
* Supporting the landlords with rental administration and general property-related correspondence.
* Liaising with letting agents, solicitors, insurers and utility providers when necessary.
* Identifying opportunities to improve occupancy levels and maximise the performance of the property portfolio.
* Ensuring all work is completed professionally, confidentially and in accordance with relevant legislation.
Person Specification
The ideal candidate will have:
* Previous experience in property management, lettings or property administration.
* Excellent organisational and time management skills.
* Strong communication skills, both written and verbal.
* Excellent customer service and relationship management skills.
* Confidence working independently with minimal supervision.
* Good problem-solving abilities and the confidence to make sensible decisions.
* Strong IT skills, including Microsoft Office and cloud-based administration systems.
* A professional and friendly manner when dealing with tenants, contractors and landlords.
* The ability to prioritise a varied workload and manage multiple properties simultaneously.
* Sales or lettings experience would be advantageous.
Essential Requirements
* Full UK driving licence.
* Own vehicle (essential).
* Willingness to travel between properties as required.
* Flexible approach to working hours to meet the needs of the portfolio.
Hours and Remuneration
* Self-employed position.
* Approximately 10-20 hours per month initially.
* Hours are flexible but will be determined by the needs of the property portfolio.
* £15 per hour.
* Mileage expenses paid for business travel.
* Opportunity for additional hours and responsibility as the portfolio expands.
