Full job description

Learning how a business runs starts with the details that keep people working effectively. As our Assistant Operations Coordinator, you will work closely with the Operations Manager to organise schedules, follow up outstanding actions and keep operational information accurate. You will have useful responsibilities from the start, with someone experienced alongside you to explain decisions and help you build confidence.

We are recruiting ahead of planned expansion into additional UK cities and markets in 2027. Developing management capability internally is part of that preparation. This role offers the opportunity to contribute to daily operations now, then build towards operations management as your judgement, experience and responsibilities grow.

The practical details

Starting basic salary: £28,000 to £32,000 per year, depending on relevant skills and transferable experience
Contract: Permanent, full time
Hours: 37.5 hours per week, Monday to Friday
Working arrangement: Office based
Reporting to: Operations Manager

What you will be doing

Your work will combine business administration with practical team coordination. The Operations Manager will set priorities and help you understand when to act independently and when to seek guidance.
Coordinate meetings and shared calendars, recording agreed actions so colleagues know what needs to happen next.
Keep spreadsheets, task trackers and shared documents accurate, checking missing details before they cause delays.
Prepare straightforward weekly updates from internal systems, highlighting incomplete information or changes that need the manager’s attention.
Follow up deadlines, requests and handovers with colleagues, helping work move between teams without losing important details.
Support new starter arrangements, including training schedules and access to relevant information.
Communicate agreed changes to priorities and gather resource requests for the Operations Manager to review.
Assist with supplier enquiries, purchasing administration and expense records within agreed approval limits.
Document routine processes so colleagues have clear, usable instructions.
Investigate recurring administrative problems and suggest practical improvements, discussing changes with the manager before introducing them.
Maintain preparation checklists for future locations, coordinate planning meetings and track outstanding expansion actions.
Some days will bring competing requests or a change of plan. You will need to check priorities, communicate delays early and follow through accurately. Knowing when to escalate a problem matters as much as completing a task yourself. Management decisions and spending approvals remain with the appropriate manager.

Your first three months

You will learn the business’s routines and systems, understand how teams work together and become dependable with recurring coordination tasks. With support, you will maintain accurate records and prepare basic operational updates. Success means fewer missed actions, reliable follow through and sensible questions, alongside growing confidence in deciding what needs attention first.

By around six months

Depending on your progress, you could independently coordinate an agreed area of routine operations, produce useful updates and resolve familiar issues within clear boundaries. You will aim to complete a small process improvement with the manager’s support and contribute to a defined part of the 2027 expansion preparations. Coaching and help with unfamiliar decisions will remain available.

Building towards operations management

Regular one to one coaching will give you space to discuss challenges and review completed work. You will also shadow operational decisions and gradually take responsibility for larger tasks. Development reviews at three and six months will help agree your next steps.

Progression will depend on evidence that you can plan work, interpret performance information and coordinate colleagues effectively. You will also need sound judgement, the ability to improve processes and an understanding of how decisions affect costs and resources.

The salary range for appointment to a full Operations Manager position is £40,000 to £50,000 per year, depending on responsibilities, operational scope and readiness. Promotion and the associated salary increase depend on demonstrated capability and appointment to that position. There is no automatic promotion date.

Experience in administration, reception, customer service, retail or hospitality could be useful, but it is not essential. We also welcome applicants entering work who can demonstrate these skills through education, volunteering or practical projects. You do not need a degree or previous management experience.

25 days’ annual leave, plus bank holidays.
A £500 annual training budget and two paid learning hours each month, with learning agreed around your development needs.
A salary review when your responsibilities materially increase.
