WHO WE ARE
RB Healthcare is a 15-branch NHS community pharmacy group in the North West, turning over around £19 million a year. We are a family-run business and that is not just something we say. There is no hierarchy here. Everyone from the MD to the Saturday dispenser is on first-name terms and pulls their weight equally.
Our finance team is small and close-knit. We use Xero, we are building AI-assisted reporting tools, and we move quickly. We are a long way from a corporate finance department and that is deliberate.
WHAT THIS JOB ACTUALLY IS
Honest description: this is a sleeves-up, hands-on finance and data role. You will be sitting alongside the team doing the work, not overseeing it.
Day to day that means entering and reconciling data, keeping Xero tidy across multiple entities, running monthly reports, processing NHS payment files, and helping produce the management accounts. The basics done properly, every time.
The thing that makes this role different from a standard bookkeeping job is this: we want someone who, while they are doing that work, spots when something could be done better. A process that could be automated. A report that takes two hours but could take twenty minutes. A Xero rule that would eliminate a weekly manual task. You do not need to fix everything the moment you see it. You just need to notice it, flag it, and be willing to help build the solution.
We use AI tools including Claude to help with data analysis and reporting. You do not need to arrive knowing how to use them. You need to be the kind of person who is curious about them rather than wary of them.
WHAT YOU WILL BE DOING
- Day-to-day Xero posting: supplier invoices, bank reconciliations, inter-entity transfers, expense processing.
- Monthly management accounts production: pulling Xero exports, running report templates, checking the numbers look right before they go anywhere.
- Weekly private services reporting: updating the tracker, calculating daily rates against targets, flagging branches that are behind.
- NHS claims data: downloading monthly files, running them through our processing pipeline, saving outputs.
- Helping the company/team with anything that needs an extra pair of hands, especially at month end.
- Managing Xero automations as you get to know the system: bank rules, repeating transactions, report templates.
- Flagging when a process looks manual, slow, or error-prone, and working with the team to improve it.
- Keeping the filing tidy: bank statements, invoices, payment records, all in the right place on SharePoint.
WHAT WE ARE LOOKING FOR
The basics:
- Solid Xero experience. You should be comfortable in it day one, not learning on the job.
- Good with data and spreadsheets. Excel to a confident standard.
- Accurate and methodical. You will be handling NHS payment data and bank reconciliations. Getting it right matters more than getting it done fast.
- Reliable and organised. Month end has a rhythm and the team depends on everyone holding their part of it.
- 2 to 5 years of relevant experience in a finance or accounts team. No specific qualification required. AAT preferred
The thing that will make you stand out:
- You have used Xero automations, bank rules, or report templates to reduce manual work and you can give us an example.
- You have used AI tools in a work context, even informally, and you found them useful rather than a gimmick.
- You have spotted a process that was wasting someone's time and done something about it, even something small.
