Job Summary
We are looking for a highly organized, detail-oriented E-commerce Operations & Accounts Coordinator to manage the critical back-office functions of our growing brand. In this hybrid role, you will be the vital link between our digital storefront, physical stock, and financial records.
Your week will be split between maintaining our Shopify store/inventory accuracy, handling daily bookkeeping in Xero, and proactively ensuring our cash flow remains healthy through friendly but firm debt collection. 1. Bookkeeping & Financial Admin (Using Xero)
- Perform daily bank reconciliations in Xero, ensuring all Shopify sales payouts match perfectly.
- Process supplier invoices and prepare weekly accounts pay runs for approval.
- Monitor cash flow and assist with basic financial reporting (expenses).
2. Shopify Store & Stock Control
- Monitor stock levels within Shopify
- Reconcile physical stock counts against Shopify data, identifying and resolving any discrepancies.
- Coordinate with suppliers to place purchase orders and track incoming shipments.
- Assist with basic Shopify back-end maintenance, such as updating product variants, tracking stock
3. Debt Collection & Credit Control
- Monitor outstanding invoices for wholesale clients, retail stockists, or corporate accounts.
- Implement and manage an automated and manual invoice reminder schedule via Xero.
- Act as the primary contact for overdue accounts, making polite but assertive phone calls and sending emails to secure payments.
- Resolve billing disputes efficiently while preserving positive relationship with clients.
Qualifications & Skills
- Software Proficiency (Required): Strong, practical experience using Xero and Shopify back-end systems is essential for this role.
- The Hybrid Mindset: Proven experience in a role that combined financial admin (bookkeeping/credit control) with inventory or e-commerce operations.
- Communication Skills: Exceptional written and verbal communication. You must feel comfortable picking up the phone to chase overdue invoices with a balance of professional firmness and diplomacy.
- Data Accuracy: High attention to detail. You notice when a decimal point is off or when a stock count doesn't add up.
- Problem-Solving: An understanding of how e-commerce apps, payment gateways, and accounting software integrate (and how to troubleshoot when the sync breaks).
