About the role
The Assistant Facilities Manager is the operational delivery lead for facilities services and day-to-day health and safety compliance across the Tŷ Hafan estate. Working under the direction of the Head of Estates and Facilities, the post holder coordinates planned and reactive maintenance, statutory compliance activity, contractor performance, soft services and core health and safety processes across all sites. The role is the visible, hands-on point of contact for site users, contractors and volunteers.
Key responsibilities include:
- Coordinating the day-to-day delivery of reactive and planned maintenance across the hospice, head office and retail portfolio, working with the in-house team and external contractors to ensure works are completed safely, on time and to standard.
- Supporting the delivery of statutory and regulatory compliance activity across all sites — including fire, water, electrical, lift and asbestos regimes — ensuring inspections, servicing and remedial works are scheduled, completed and fully evidenced.
- Delivering the day-to-day health and safety programme under the direction of the Head of Estates and Facilities, including coordinating risk assessments, fire safety arrangements, incident reporting and DSE assessments across all sites, ensuring records are maintained and actions closed out.
- Supporting contractor performance monitoring and procurement activity, including onboarding, RAMS review, SLA monitoring and KPI reporting, and contributing to benchmarking and contract reviews.
- Line managing a small team including a Maintenance Officer, House Coordinator and Receptionist/Administrator, setting clear objectives, managing performance through regular 1-1s and the PDR process, and supporting personal development.
- Maintaining accurate, audit-ready compliance and facilities records and producing regular operational reports on maintenance activity, compliance status and contractor performance.
As the ideal candidate you will have/be:
- Experience of working as part of a team in a multi-site Facilities Management environment managing soft and hard services, effectively managing reactive and planned maintenance tasks and contract procurement and supplier management.
- Experience of facilitating statutory and regulatory building compliance and maintaining inspection schedules.
- Experience of health & safety coordination as well as identifying potential risk and opportunities, creating and evaluating risk assessments.
- Sound knowledge of Facilities and Property related legislation, and Health and Safety legislation
- Good people management skills, able to develop and motivate others to succeed.
- Flexible, adaptable and solution focused, with a methodical approach to work
- Excellent communication and service delivery skills
