Role Summary:
We are looking for a motivated and proactive Sales Support Coordinator to join our dynamic operations team. You will be a key player in the sales support department, dedicated to enhancing our customer service experience, fostering engaged customers, and driving organic growth. As Sales Support Coordinator your role is critical in ensuring the department operates efficiently and profitably while increasing customer satisfaction, loyalty, and retention by consistently meeting and exceeding customer expectations.
Main Duties and Responsibilities:
- Manage day-to-day operations within the sales support department, including processing quotations, orders, and spares, and acknowledging support claims.
- Ensure customer satisfaction throughout the pre and post-sales service and support process.
- Take ownership of customer issues, collaborating with other departments to resolve problems effectively.
- Communicate any production or delivery delays to customers promptly and manage the follow-through to completion.
- Assist in capturing, developing, monitoring, and reporting on KPIs related to service delivery and customer satisfaction.
- Ensure compliance with contractual service level agreements (SLAs) where applicable and track complaints.
- Produce daily reports on sales order status, ensuring that all data is current and accurate.
- Update CRM and ERP systems to ensure data consistency, supporting the department head in creating weekly KPI reports.
- Proactively seek new potential customers through data mining, reaching out via phone and email to support the sales team in setting appointments and logging communications in the CRM.
- Complete tender responses, including suggesting alternatives and consulting with clients to increase the specification of our products.
Skills, Qualifications, Knowledge, and Experience Required:
- Minimum 2 years’ experience in office administration and customer service preferred.
- Outstanding customer service skills with a client-focused attitude.
- Enthusiastic, outgoing personality with a confident telephone manner and the ability to reach out to new clients.
- Excellent multitasking skills with the ability to handle pressure effectively.
- Self-motivated, confident, and capable of performing independently.
- Strong communication skills with the ability to coordinate work activities and make decisions.
- Ability to influence across departments to meet customer needs.
- Excellent organisation and prioritising skills.
- Experience with ERP and CRM systems is an advantage.
