With the gallery expanding, we are seeking a dedicated Administrative Assistant to support the day-to-day operations and contribute to our continued success.
**Job Overview:**
We are looking for a detail-oriented and proactive Administrative Assistant to join our team. This role is crucial to the smooth running of our gallery, providing key administrative support to the gallery director and team. The successful candidate will be responsible for managing office tasks, coordinating gallery events, and ensuring effective communication with clients, artists, and visitors. There will be a need for regular on-site presence to assist with gallery events, office organization, and other in-person duties.
**Key Responsibilities:**
- Serve as the primary point of contact for inquiries, both by phone and email, ensuring timely and professional communication with clients, artists, and the public.
- Manage the gallery director’s schedule, including arranging meetings, handling travel arrangements, and maintaining an organized calendar.
- Assist with bookkeeping, invoicing, and maintaining financial records.
- Manage office supplies, mail collection, and general office duties, ensuring the gallery runs smoothly.
- Maintain accurate records of artwork inventory, sales, and client contacts using both excel and the companies CRM system
- Support business development projects by assisting with research.
**Requirements:**
- Strong administrative skills with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
- Excellent written and verbal communication skills, with a professional and polished demeanour.
- Proficiency in Microsoft Office and other relevant software. Experience with gallery management software is a plus but not required.
- Strong organizational skills and attention to detail.
- Ability to work independently, but also as part of a small and dynamic team.
- Flexibility to work occasional evenings or weekends for gallery events and exhibitions.
- A passion for the arts and an interest in contemporary art is highly desirable.
- Must be based in Brighton or nearby and able to travel to the gallery for on-site duties when required.
**Desirable Skills:**
- Experience with bookkeeping or financial administration.
- Previous experience in a gallery, museum, or arts organization is an advantage but not essential.
**Pay & Benefits:**
- Salary: £24,500.00 per year, dependent on experience.
