Brighton College Prep Hove is seeking to appoint a School Receptionist and Secretary on a full-time, permanent basis.
Reporting to: Office Manager and PA to the Headmaster
Main purpose of the role: This is an exciting opportunity to join the School as a School Receptionist and Secretary. The role covers reception duties, medical administration, clubs coordination, ordering supplies, and general office support to ensure the smooth and efficient running of the school.
General Duties and Responsibilities:
- Acting as the front-facing member of the school office team who liaises on a daily basis with parents and staff.
- Responsible for the administration associated with all current pupils on roll.
- Completing projects associated with the smooth running of both the front desk and main office.
- Supporting the Office Manager with annual activities e.g. Census.
- Managing administrational tasks in an efficient and timely manner.
- Assisting the Head of Marketing and Admissions with the organisation of whole school events for current families.
- Assisting with the administration of school rewards and sanctions systems on a weekly basis.
- Overseeing the calendar and updating events to form the termly booklet.
- Completion of Reception duties.
- Answering school phones and greeting visitors/signing them in.
- Assisting with the daily arrival and dismissal process, including completing daily registers.
- Responsible for the administration of clubs and activities.
- Setting up Parents' Evening appointments on the system and overseeing the associated administration.
- Assisting with placing orders, as required and checking deliveries.
- Overseeing pupil medical administration and requirements, including First Aid.
- Assisting with banking jobs.
- Administrational activity support for the school.
- Any other reasonable management request.
Person Specifications:
The successful candidate will have:
- Efficient and organised.
- Highly capable in prioritising tasks in a busy working environment.
- Strong project management skills and experience in planning and implementing projects.
- Highly self-motivated with an ability to work independently.
- Strong interpersonal skills - comfortable dealing with staff, parents and pupils.
- Confident user in Microsoft office applications and database manipulation.
- Experience in ‘front-of-house’ tasks, e.g: telephone calls and in-person
- queries.
- Experience in data management and manipulation.
- Flexible member of a team, willing to assist across all aspects of school administration.
- Friendly and personable in character.
- Respect for the confidential nature of the work.
- Pro-active approach with the ability to take initiative.
Hours of Work:
Monday to Friday, 8.00am to 5.30pm with a 60-minute unpaid lunch break (45 hours per week) while the School is in session and at any other time (including during school holidays, at weekends and before and after the School's normal starting and finishing times) as may be necessary in the reasonable opinion of the Headmaster for the proper performance of your duties. This role will work term-time, plus additional four weeks in the school holidays.
Remuneration and Benefits
The salary will be £26,352 per annum. Complimentary lunch is also provided. Holiday entitlement is included in the salary for this role, annual leave should be taken outside of the working weeks.
