As an Estimating/Sales Coordinator, your mission is to ensure a seamless transition from estimate to order, delivering outstanding customer service and support. You’ll play a key role in liaising with customers and internal teams, ensuring orders are accurately processed and efficiently managed. Your efforts will contribute to customer satisfaction, operational efficiency, and overall company growth.
JOB PURPOSE
Your role is all about making the estimating and sales process as smooth as possible. You’ll be responsible for handling ordered estimates, ensuring they are ready for processing, and acting as the main point of contact for post-order projects. Your coordination skills will be essential in ensuring customers receive their orders on time and to specification.
KEY RESPONSIBILITIES
- Manage all new quotes that have been ordered, ensuring a seamless transition into live projects.
- Contact customers post-order to confirm details and collect any outstanding information.
- Liaise with internal teams (Production Control, Production) to confirm specifications and lead times.
- Work to secure the best delivery dates while ensuring feasibility.
- Act as the primary contact for project updates, revisions, and changes, communicating with customers and internal teams as necessary.
- Assess whether changes require updates to job sheets or pricing.
- Maintain accurate and up-to-date information in HubSpot.
- Provide ongoing support to the Estimating Manager and Estimators.
- Assist with quoting and revising projects.
- Manage key logs such as the Ironmongery Log and Alterations Log.
- Work closely with External Sales to ensure customer expectations are met.
- Develop a deep understanding of Forza’s products, their applications, and pre-qualification requirements.
- Gain proficiency in Sage 200 for order processing.
- Collaborate with the team to ensure a shared workload and team success.
- Provide support on switchboard duties during busy periods.
- Offer expert advice to customers on Forza products.
- Take on special projects as assigned by the Estimating Manager / Commercial Director.
- Adhere to company policies regarding attendance and reporting.
EXPERIENCE
- Experience in an estimating, sales coordination, or project administration role.
- Background in manufacturing, construction, or similar industry preferred.
- Customer service experience with a strong focus on client communication.
- Previous use of HubSpot, Sage 200, or similar CRM/ERP systems is an advantage.
- Experience working with internal teams to manage orders and deadlines.

- Excellent organisational and time management skills.
- Strong communication skills, both written and verbal.
- Ability to multitask and prioritise workloads effectively.
- Attention to detail and a problem-solving mindset.
- Proficiency in Microsoft Office (Excel, Word, Outlook).
