Steffie Broer is the founder of Bright Green Futures, an organisation focused on creating sustainable housing communities and purpose-led projects. Alongside her wider work, Steffie manages a large portfolio of several rental properties in communities across Bristol.
About the Role
This role is primarily focused on the day-to-day operational management of these properties, ensuring they are well maintained, legally compliant, financially organised, and professionally managed for tenants.
The role also involves working closely with Steffie. She is an enthusiastic, kindhearted, interesting person with exciting visions that benefit communities and the planet. Our rental model has been uniquely developed to reflect this and continues to evolve.
We are seeking a highly organised, practical, proactive person, who is confident working independently. The successful candidate will need to be comfortable managing competing priorities, dealing directly with tenants and contractors, and taking ownership of ongoing property-related administration and coordination.
As this is a flexible and largely autonomous role, strong self-management, initiative, and communication skills are essential.
Key Responsibilities
Property Management
- Act as the main point of contact for tenants across a portfolio of HMOs and residential flats
- Respond professionally and promptly to tenant enquiries, concerns, complaints, and maintenance requests
- Coordinate maintenance, repairs, inspections, and contractor visits
- Manage ongoing property compliance requirements
- Maintain accurate compliance records and ensure deadlines are met
- Carry out occasional in-person property visits and inspections
- Support tenancy administration including referencing, contracts, renewals, and deposit-related processes
- Monitor rent payments and follow up on arrears where required
- Handle sensitive or challenging tenant situations calmly and professionally
Financial & Administrative Responsibilities
- Maintain accurate financial records using Xero
- Process invoices, payments, and expense tracking
- Liaise with accountants and support VAT and Corporation Tax submissions where required
- Maintain organised digital filing systems and records
- Support budgeting and cashflow oversight for property-related expenditure
Executive & Project Support
- Provide occasional PA and organisational support to Steffie
- Support communication management including monitoring shared inboxes
- Assist with ad hoc project coordination linked to Bright Green Futures and related ventures
Working Style & Expectations
This role offers significant flexibility and autonomy, but also requires someone who is comfortable:
- working independently and making decisions proactively
- managing a varied and sometimes reactive workload
- balancing multiple priorities at once
- communicating calmly and constructively with tenants, including where issues are sensitive or require careful handling communicating clearly and consistently in a fast-moving environment
- Due to the nature of the role, a Bristol-based candidate is strongly preferred, as occasional attendance at properties is required.
Essential Experience
- Strong administrative and organisational experience
- Ability to work independently with minimal supervision
- Confident communication skills with tenants, contractors, and professional contacts
Desirable
- Experience managing HMOs
- Experience using Xero or similar accounting software
- Interest in sustainability, community-led projects, or social impact work
- Experience supporting a founder or small business owner
- Strong understanding of rental property compliance and landlord responsibilities
- Experience coordinating repairs, contractors, and maintenance works
- Experience in property management, lettings or housing administration
