Live to Learn Education is a holistic home education provider, inclusive education setting and examinations centre, supporting children and young people whose educational needs are not met within traditional school environments. We work with learners with a wide range of additional needs, alongside those who are Electively Home Educated (EHE), providing personalised education through small group teaching, one-to-one tuition, mentoring and flexible learning pathways. Alongside our education provision, Live to Learn Integrated Assessments provides high-quality multidisciplinary assessment and consultancy services for families, schools, local authorities and other professionals. Working with a trusted network of specialist associates, we offer Autism assessments, Occupational Therapy (OT), Speech and Language Therapy (SLT), Dyslexia assessments, Cognitive Assessments, Access Arrangement assessment and Clinical Psychology assessments, whilst working closely with Educational Psychologists to inform Special Educational Needs provision and Education, Health and Care Plans (EHCPs). We also provide specialist education consultancy services, supporting families and professionals with EHCPs, education law, school placements, EOTAS, tribunal preparation and wider SEND-related advice.
We are looking for an organised, proactive and detail-oriented individual to join our growing team in a varied administrative role, supporting both businesses.
The Role
As our Examinations Officer, Finance Administrator and Assessments Front of House, you will be responsible for ensuring the smooth running of our examinations service, financial administration and assessment administration.
It is key to note that within our examinations team, we process a high number of access arrangements requests; requiring support for a wide range of individual exam needs in-line with JCQ regulations.
This varied role includes:
Examinations
- Acting as the Examinations Officer for Live to Learn Education
- Administering GCSE, IGCSE and Functional Skills examinations in accordance with JCQ and awarding body regulations
- Managing examination entries, timetables, candidate records and correspondence
- Preparing examination documentation and supporting examination days
- Liaising with awarding organisations, learners, families and staff
- Maintaining accurate and confidential examination records
- Posting of exam papers at the end of their day or the start of their shift (if posting the day after)
- Exam room set up/organisation for the afternoon exams
- Managing results days, post-results services and the distribution of examination certificates
- Coordinating access arrangements, modified papers and special consideration applications
- Managing examination materials, including their secure receipt, storage and dispatch in accordance with JCQ regulations
Finance Administration
- Drafting invoices for both Live to Learn Education and Live to Learn Integrated Assessments
- Maintaining accurate financial records
- Monitoring outstanding invoices and supporting payment administration
- Assisting with general financial administration across both businesses
- Collecting and processing payroll each month
- Organising payments of invoices / bills within deadlines
Integrated Assessments Front of House
- Providing administrative support for Live to Learn Integrated Assessments
- Managing assessment bookings and appointments using our secure system, Carepatron
- Responding professionally to telephone and email enquiries
- Preparing assessment paperwork and reports for clinicians and consultants, where required
- Maintaining accurate electronic records
- Acting as the first point of contact for families accessing our assessment services
General Administration
- Providing high-quality administrative support across both businesses
- Supporting the wider team with day-to-day office administration
- Maintaining confidential records in accordance with GDPR
- Contributing to the smooth and welcoming running of our education hub
- Answering the phone line between 12:15 and 15:00
- Monitoring the inbox for absences from 12:15 – 15:00, and informing staff / updating our booking system
About You
We are looking for someone who:
- Is highly organised with exceptional attention to detail
- Can confidently manage multiple priorities and deadlines
- Has excellent written and verbal communication skills
- Is proficient in Microsoft Office and digital administration systems, such as Tutorbird, Carepatron and ExamsAssist
- Works independently and uses initiative
- Is professional, approachable and welcoming
- Understands the importance of confidentiality and safeguarding
- Enjoys working within a child-centred educational environment
Experience within education administration, examinations, finance or office management would be advantageous, although training will be provided.
Essential Requirements:
- Available to work 12:00 – 15:00, Monday to Friday, during Live to Learn Education term time dates
- Attendance at all INSET days at the beginning of each academic year is essential
- Completion of an additional 12 hours during the Summer holidays.
- Successful completion of an Enhanced DBS check, satisfactory references and mandatory safeguarding training
