JOB TITLE: Installations Administrator
RESPONSIBLE TO: Branch Manager
HOURS: Full time Mon-Fri 0800-1700 – 42.5 hour week
SUMMARY OF THE ROLE:
Working as part of a team to provide consistent, effective and efficient office based administration support with a focus on installations.
With training provided you will schedule and co-ordinate installations using the company fitting diary. Being the main point of contact for customers having installation work, you will be an effective communicator to ensure an excellent customer experience, keeping customers updated on progress. You will raise new contracts, place orders with suppliers, raise purchase orders, create and issue invoices, issue certificates, take payments, input data, communicate with customers and provide general administrative support.
SPECIFIC RESPONSIBILITIES
Tier 2 Competencies
- Be the main point of contact, communicating with customers via email and telephone, providing updates with all relevant installation related progress.
- Scheduling installation work via the company fitting diary utilising teams of installers with different skill sets.
- Communicate to customers when installation dates require amending and re-schedule work as and when needed, ensuring the best possible outcome for customers.
- Co-ordinating snagging or unfinished work for completion in a timely manner, obtaining the information required from suppliers and installers to enable job completion.
- Processing customer payments by cash / card.
- Placing orders with suppliers.
- Raising non-conformance issues with product suppliers and arranging replacements.
- Checking order confirmations with suppliers.
- Raising purchase orders, posting invoices, posting delivery notes and any other administrative duties appropriate to the role as required.
- Apply commercial awareness to situations of discrepancy and understanding basic financial checking.
- Communicate with stores people to ensure all products relevant to up and coming installations have been delivered.
- Promote the company in a positive manner at all times with a friendly, positive, customer focused attitude
Tier 3 Competencies
- Have a detailed knowledge of installation team skill sets and be able to schedule specific job types with the best suited teams.
- Have a good understanding of installation related requirements, knowing which jobs require Certass certificates, when zero or reverse vat applies and specific construction site requirements.
- Have an understanding of installation work and be able to action minor installation works autonomously.
- Have a working knowledge of all products sold and installed by the company.
- Be able to communicate with customers and resolve minor disputes as and when required.
- Having a working knowledge of all administration based roles to be able to provide cover as and when needed.
KEY SKILLS
- Excellent communication and customer service skills.
- Working knowledge of IT systems including Microsoft Outlook and Word.
- Good literacy skills and able to communicate clearly by email.
- Manages time effectively so as to accomplish tasks efficiently.
- Remains focused and productive when having to multi-task.
- Be a confident communicator displaying a friendly, positive attitude at all times.
