Full job description

Job Introduction

We are looking for a friendly, highly organised, and motivated Finance Officer to join our school team and help support the smooth and effective management of our finances. This is an important and rewarding role that helps ensure the school remains financially secure, well‑resourced, and able to meet the needs of our pupils, staff, and wider community.

Working closely with the Headteacher, the Finance Officer will play a key part in the school’s financial and administrative operations. You will support financial planning, monitoring, reporting, and purchasing, ensuring these are carried out with care, accuracy, and in line with Hampshire County Council policies.

This position is term time only 39 weeks plus 3 weeks, 42 weeks in total, 37 hours 8.30 - 16.20 Monday to Friday.

Key Responsibilities

Support the preparation, management, and monitoring of the school budget.
Manage day‑to‑day financial tasks, including processing invoices and payments, banking, and reconciliations.
Work with the Headteacher and Governors to review financial information and help develop a realistic and balanced budget.
Maintain clear and accurate financial records in line with audit requirements and Hampshire County Council regulations.
Administer staff expense claims, payroll documentation, and grant applications.
Support purchasing and tendering processes to help achieve best value for the school.
Provide clear and timely budget information to relevant staff and stakeholders.
Oversee a range of administrative tasks, including maintaining inventories, recording staff absences, and processing HR‑related forms.
Respond to school enquiries and liaise with parents, suppliers, auditors, and external agencies as needed.
Prepare reports for, and attend, Governor Finance Committee meetings.
Maintain financial systems and databases, ensuring information is accurate, secure, and up to date.
Act as the school’s Data Protection Officer and provide support with ICT‑related financial systems, ensuring compliance with data protection requirements.
Ensure financial procedures and internal controls are followed at all times.
Support health and safety compliance and other statutory responsibilities where required.
Contribute to wider administrative and operational duties to support the school community.

Person Specification

We would welcome applications from candidates who have:

An AAT qualification (part‑qualified or studying), or similar financial training (such as CSBM or DSBM).
GCSEs (or equivalent) including Maths and English at Grade C/4 or above.
Experience in financial administration, including budgeting, forecasting, invoicing, and reconciliations.
Strong ICT skills, particularly in Microsoft Excel and financial systems.
Excellent organisational skills and attention to detail, with the ability to manage priorities effectively.
Clear and approachable communication skills and the confidence to work with staff at all levels.
The ability to work independently, handle sensitive information, and maintain confidentiality.

Desirable experience includes:

Working in a school or public‑sector financial environment.
Knowledge of Hampshire County Council systems.
Experience of supervising or supporting administrative staff.
