Role Summary
The People Operations Manager plays a critical role in delivering a high-quality, efficient, and compliant HR service across Malary. This role is responsible for overseeing the day-to-day delivery of People services, ensuring employee queries are handled in a timely, professional, and sensitive manner. Alongside operational delivery, the role leads on people data and reporting, ensuring accurate insights are generated from our HRIS; Employment Hero to support decision-making. The role also carries responsibility for HR governance, ensuring fair, consistent, and compliant people processes. This position requires a detail-oriented individual, with an eye for continuous improvement, a strong ability to be proactive and use initiative, capable of designing intuitive HR processes and leading key HR initiatives from planning through to execution.
Key Responsibilities
People Operations & Service Delivery
- Oversee the People Services shared inbox, ensuring all employee queries are responded to promptly, accurately, and with sensitivity
- Manage and support the HR Administrator, providing clear direction, prioritisation, coaching and development
- Ensure a consistent, high-quality employee experience across all HR touchpoints
- Continually improve response times and service quality
HR Data, Reporting & Insights
- Own and manage People data within Employment Hero (HRIS), ensuring accuracy and integrity
- Produce regular and ad hoc HR reports to support business decision-making
- Identify key HR metrics (e.g. turnover, absence, engagement, hiring trends) and track performance
- Translate data into meaningful insights and recommendations for stakeholders and senior leadership
Governance & Compliance
- Lead HR governance activities, ensuring fair and compliant processes across the employee lifecycle, such as: Pay audits, National Minimum Wage (NMW) compliance checks, Holiday pay compliance reviews
- Ensure adherence to employment legislation and internal policies where required
- Mitigate risk through strong process control and documentation
Process Design & Continuous Improvement
- Review, design, and implement key identified HR processes that are user-friendly and intuitive, partnering with managers as required
- Identify opportunities to streamline and improve ways of working. This could reflect both processes or workflow improvements/automation within Employment Hero (system optimisation)
- Embed processes into BAU operations and ensure clarity
- Drive a continuous improvement culture across the People team
Communication & Change Delivery
- Develop and deliver clear, effective communication when rolling out new processes or initiatives
- Ensure employees and managers understand HR processes and tools
- Act as a trusted point of contact for guidance on People processes
- Support clear and timely business wide communication where required
HR Projects & Initiatives
- Lead and deliver key HR initiatives as directed by senior leadership (e.g. performance management, Employment Hero optimisation)
- Own project planning, including timelines, milestones, and resource requirements
- Ensure delivery to agreed timelines, scope, and budget
- Track and report on project progress and outcomes
Person Specification
Qualifications and Training
- Educated to GCSE level, incl. Maths & English (min. Grade 4, previously Grade C - essential
- IT literate (Microsoft Office) - essential
- CIPD qualification - desirable
Experience
- Strong experience in a People Operations / HR generalist or operational role - essential
- Proven experience managing HR systems (ideally Employment Hero or similar HRIS) - essential
- Strong analytical skills with the ability to interpret and present HR data - essential
- Excellent attention to detail, particularly in data handling and compliance - essential
- Solid understanding of HR governance and supporting employment legislation - essential
- Experience designing and implementing HR processes - essential
- Strong organisational and prioritisation skills - essential
- Confident communicator, with the ability to engage stakeholders at all levels - essential
- Demonstrated ability to lead initiatives and deliver projects end-to-end - essential
- Experience managing or mentoring HR team members - desirable
- Experience working in a scaling or changing organisation - desirable
- Exposure to reward, engagement, or HR transformation initiatives - desirable
