Role: Operations Assistant/Administrator
Basis: Part Time – 20 – 25 hours per week (flexible)
Salary/Package: Up to £35,000 pro rata

Primary Purpose
We are seeking an organised, proactive, and people-focused Operations Assistant/Administrator to support our client’s team.
This role is perfect for someone who enjoys building relationships, coordinating multiple moving parts, and fostering a positive team culture. The successful candidate will become the first point of contact for all staff working with the client and play a key role in ensuring smooth operations across meetings, travel, communications, and team activities.
Key Responsibilities
Staff Support & Relationship Management
- Act as the first point of contact for all staff working with the client, handling queries and resolving issues wherever possible.
- Escalate matters to HR or the main client contact (CEO) when appropriate.
- Build and maintain strong, positive working relationships with all client personnel.
- Foster a supportive, engaged, and motivated team atmosphere.
Communication & Team Engagement
- Draft and send monthly update emails to staff.
- Arrange and support team-building events and initiatives.
- Ensure all communication aligns with a positive, collaborative culture.
- Keeping the main client contact (CEO) updated on the team.
Travel Coordination
- Arrange and manage regular travel for all staff, including flights, accommodation, trains, cars, and taxis for both UK and international trips.
- Ensure travel plans are accurate, efficient, and communicated clearly.
Meeting & Diary Management
- Schedule team meetings, departmental meetings, and 1-2-1s.
- Coordinate multiple diaries across different teams and time zones.
- Gather information and feedback from relevant client-side contacts ahead of meetings.
- Ensure all materials, documents, and prep work are completed and distributed in advance.
- Ensure main client contact (CEO) is properly briefed ahead of any team meetings he needs to attend.
- 1-2-1 Support
- Once fully established in the role and familiar with team dynamics, conduct 1-2-1s with team members.
- Capture notes, actions, and development points as needed and ensure any actionable points are followed up.
Finance & Administration
- Work closely with the Office Manager to ensure all invoices to the client are accurate and issued on time.
- Keeping track of travel costs – working with the Office Manager and finance to ensure travel is being coded to the correct place.
- Assist in resolving any client invoice queries.
- Adhoc support for the Chief Commercial Officer.
Skills and Expertise Requirements
- Strong organisational skills with the ability to manage multiple tasks simultaneously.
- Excellent communication and relationship-building skills.
- Confident, approachable, and able to handle sensitive or confidential matters.
- Experience arranging travel and coordinating meetings.
- Comfortable working independently and taking ownership of tasks.
- Previous project coordination or people-support role is advantageous.
- Full, clean UK driving licence.
