Caron Group is a family of care homes across mid and south Wales. We are seeking a Receptionist who will be the first point of contact for all visitors and callers to Caron Group's Uxbridge Support Office. Their primary responsibility is to ensure all phone calls are answered promptly and efficiently, providing exceptional customer service. This role also involves performing various administrative tasks to support the smooth running of the office.
About The Role
Responsibilities (this list is not exhaustive):

Answer all incoming calls promptly and professionally, ensuring no calls are missed or left unanswered.

Direct calls to the appropriate departments or team members accurately. Take clear and concise messages, and ensure they are delivered to the right person in a timely manner.

Handle inquiries regarding care home services, availability, and general queries. Escalate urgent issues or complaints to senior staff as needed.

Greet visitors warmly and ensure they are directed to the appropriate person or department.

Ensure visitors sign in and adhere to security protocols.

Ensure post is forwarded on to the Uxbridge office in a timely manner.

Make sure stock levels are maintained for stationary and kitchens supplies, ordering as needed.

Perform administrative duties such as filing, photocopying, and data entry.

Arrange office birthday celebrations, including organising cards and coordinating cakes.

Plan and coordinate team lunches.

Assist in special projects or office initiatives, contributing to a positive team environment.
Essential Qualifications/ Skills:

Excellent verbal communication skills with the ability to speak clearly and professionally over the phone.

Good time management and administrative skills

Experience using a database to log, resolve and escalate queries appropriately

Experience managing a multi-line phone system in a busy environment.

Strong customer service skills and the ability to manage difficult situations with patience and empathy.

Ability to handle multiple phone lines and perform administrative tasks simultaneously without compromising on quality.

Competent in using office software such as Microsoft Office (Word, Excel, Outlook).

Efficient in managing time, especially during busy periods when there are high volumes of calls.

Maintain a polite and professional demeanor at all times, particularly when dealing with sensitive information.

Basic technical skills (password resets, etc.)
Desired Experience:

Previous experience as a receptionist.

Knowledge of care home operations or experience within a healthcare setting is a plus.

Salary
£27,000.00 - £29,000.00 per year
