Full job description

Back to Health clinic in Chester is looking for an efficient Receptionist and Administrator to join our Chester team.

This is a part time role to cover the reception desk on a Saturday morning - 4.5 hours per week . There is an expectation that the applicant will have some flexibility to provide additional holiday & sickness cover during the week which includes evenings. Holiday cover is organised in advance with at least four weeks notice. Our clinic is open 6 days a week between the hours of 8am and 7pm and Saturdays 8.30am - 1pm.

The clinic environment is pleasant & friendly.

Job summary

Reporting to the Clinic Lead, to work with the Clinic Lead to ensure that the reception and clinic runs efficiently, and that all reception duties are attended to.
Undertake a variety of administrative duties to assist in the smooth running of the clinic.
Welcome & assist patients & visitors to the clinic in a friendly, courteous & efficient way. To meet & greet patients, direct patients to the appropriate practitioner, make appointments & take payments on the computer.
Project a positive & friendly image of the clinic on the telephone
Maintain well ordered electronic patient medical records.
Organise daily workload to achieve smooth running of clinic through administrative & organisational tasks including date input.
Managing the clinic housekeeping including preparation of treatment rooms, waiting room & general areas.
Liaising with practitioners & visiting practitioners.
Invoicing & liaising with external suppliers such as health insurance providers.
Filing of medical notes, letters, test results & other correspondence.
Attend practice meetings & training courses.
Any additional & appropriate administrative duty required by the Clinic Lead and Senior Management team.

Job Specification Essential

5 GCSE’s including English and Maths
Customer service experience
Understand the necessity for patient confidentiality & need for accuracy when dealing with patient records, both electronic and paper based.
Able to work on own initiative and take the lead where required
Ability to flow well with patients to the clinic and also to maintain a cooperative relationship with other staff
Efficient computer skills (word processing, database management, spreadsheets).
Good literacy skills
Ability to work effectively under continuing pressure and interruptions
Flexible approach to work – Back to Health is a small business where all of the team must be prepared to be flexible.
Interest in health, fitness & wellbeing.
Excellent telephone manner
Enthusiastic & friendly personality
Available to work a range of shifts – our early shift can start at 8am and the afternoon shift can finish at 8pm.

Desirable

Understanding or experience of osteopathy, physiotherapy, chiropractic, sports massage or acupuncture treatment.
Diary management or database management experience

Role information
Chester clinic based with the ability to travel to the other clinic locations if required. Back to Health also have clinics in Mold and Chester.
