Precision Products (Portsmouth) Ltd has been trading since 2000, we operate out of our two facilities in Havant near Portsmouth.
Our two founders have sold the business after 25 years in 2025 and the new management is tasked with modernising, expanding and growing the business under the new ownership. This role will hold a key position in this growth.
Role purpose
Own and improve the day-to-day supply chain, job control, purchasing and dispatch administration so that work flows cleanly from customer order to released job card, to purchased materials, to shipped goods. This role is hands-on: you will both run key admin processes and redesign them (digitally) to support business growth.

Key responsibilities
While the responsibilities are varied and may seem challenging, this role will have the full support of our Managing Director and the whole team. The right person will be given the opportunity to make changes and grow.
Purchasing & supplier coordination
- Select, manage and develop suppliers
- Lead Procure-to-Pay function and supplier engagement activities
- Raise purchase orders (POs) and place orders for materials and consumables.
- Chase supplier confirmations, manage lead times, and follow up deliveries.
- Maintain supplier records and basic pricing history.
- Spot supply risks early and propose practical mitigations.
Process improvement & change delivery
- Map current processes, identify bottlenecks, and implement practical improvements.
- Define simple KPIs (e.g., job register accuracy, PO turnaround time, on-time dispatch) and report progress to the Managing Director.
- Drive adoption: train colleagues on any new process so it sticks.
Document control & knowledge capture
- Create a simple, consistent filing structure for drawings, job packs, supplier docs, and shipping docs (scan and file digitally).
- Create and maintain straightforward SOPs/checklists so knowledge is shared and repeatable.
- Improve document hygiene (naming, version control, location) so information is easy to find.
Order processing & job control
- Maintain the Job Register (currently in Excel) as the single source of truth until the ERP is fully implemented.
- Create and release job cards for engineering/drawing and production.
- Track job status, chase actions, and keep stakeholders updated.
- Support repeat order processing and quoting where required.
Shipping, delivery notes & export paperwork
- Prepare shipments and book couriers.
- Produce Delivery Notes and maintain shipment records.
- Prepare export documentation where applicable.
- Close out jobs cleanly in the Job Register once dispatched.
What good looks like (first 3–6 months)
- Job Register is accurate, current, and trusted by engineering and production.
- Job cards released quickly and consistently, with fewer avoidable clarifications.
- Purchasing is proactive: fewer line-stops due to missing materials/consumables.
- Dispatch runs smoothly with clean Delivery Notes and traceable shipment records.
- A simple shared filing system is in place, and core processes have short SOPs/checklists.
Skills and experience
Essential
- Experience in a manufacturing, engineering, or technical environment (2–5 years preferred).
- Strong admin discipline: accurate data entry, organised filing, and follow-through.
- Purchasing experience: Selecting and developing suppliers, raising POs, supplier chasing, lead-time management.
- Comfortable working from technical information (drawings, part numbers, specifications).
- Confident communicator—able to push politely and get things done.
Desirable
- Experience with job tracking/job cards (ERP/MRP or spreadsheet-based).
- Understanding of machining or engineered products (helpful but not essential).
- Experience improving processes and documenting simple SOPs.
