About the Role:
Manchester is one of the United Kingdom’s most active transport and distribution hubs, and at RHC Equestrian Retail and Distribution, we rely on dependable fleet operations to keep products moving efficiently between suppliers, storage facilities, retail partners and customers.
We are looking for a Fleet Coordinator who can support the day-to-day management of our vehicle operations. You will coordinate vehicle schedules, arrange servicing and repairs, maintain accurate compliance records and work closely with drivers, logistics teams and external service providers.
This is a mid-level position for someone with practical experience in fleet administration, transport coordination, logistics or distribution. You should be organised, comfortable managing changing priorities and able to respond quickly when vehicle or delivery issues arise.
Key Responsibilities:
Fleet Scheduling:
Coordinate daily vehicle movements, delivery schedules, collections and driver assignments.
Vehicle Availability:
Monitor the availability and operational status of company vehicles and hired transport.
Maintenance Coordination:
Arrange servicing, MOT appointments, inspections, repairs, tyre replacements and routine maintenance.
Driver Communication:
Provide drivers with schedule updates, route changes, delivery instructions and operational support.
Compliance Management:
Maintain accurate records for vehicle insurance, road tax, MOT certificates, servicing, inspections and driver documentation.
Delivery Support:
Work with warehouse and logistics teams to ensure that customer deliveries and supplier collections are completed on time.
Supplier Coordination:
Liaise with garages, breakdown providers, leasing companies, vehicle-hire suppliers and fuel-card providers.
Incident Management:
Record and follow up on vehicle accidents, breakdowns, damage reports and service disruptions.
Cost Monitoring:
Track fleet-related expenses, including fuel, maintenance, repairs, vehicle hire and leasing costs.
Fleet Records:
Update vehicle mileage, fuel usage, maintenance history and driver information within fleet-management systems.
Performance Reporting:
Prepare regular reports covering vehicle utilisation, maintenance costs, downtime and delivery performance.
Operational Improvement:
Identify practical opportunities to reduce vehicle downtime, improve scheduling and control fleet costs.
What We Are Looking For:
Experience:
At least 2 to 4 years of experience in fleet administration, transport coordination, logistics, distribution or a related operational role.
Fleet Knowledge:
A practical understanding of vehicle scheduling, maintenance planning and fleet documentation.
Organisation:
Strong time-management skills with the ability to coordinate multiple vehicles, drivers and deadlines.
Communication:
Confident communicating with drivers, suppliers, warehouse teams and external transport providers.
Systems:
Comfortable using Microsoft Office and fleet, transport or logistics-management systems.
Compliance Awareness:
A working understanding of vehicle safety, MOT requirements, servicing schedules and transport records.
Problem-Solving:
Able to respond calmly and effectively to vehicle breakdowns, delivery delays and last-minute schedule changes.
Accuracy:
Strong attention to detail when maintaining fleet records, checking invoices and reviewing compliance documents.
Teamwork:
Able to work effectively with logistics, warehouse, procurement and customer-service teams.
Pay: £2,600.00-£3,000.00 per month
