Reports To:

The Executive Chairman

Location:

The Executive Chairman's private residence, Stapleford Tawney, Essex. The role is based on-site, with scope for certain tasks to be carried out remotely.

Hours / Basis:

Full-time or part-time considered for the right candidate. The role also requires flexibility to respond to matters arising outside of core hours, including evenings and weekends, as needed.

Salary:

Competitive, dependent on experience and hours

Role Overview

This is primarily a personal and family office role, providing dedicated one-to-one support to the Executive Chairman and, where relevant, his family. The successful candidate will act as a trusted partner and central point of contact across the Executive Chairman's personal affairs, household and family office matters, with a smaller proportion of the role involving business-related administrative support.

Confidentiality, discretion and trustworthiness are the most important qualities for this role. The Executive Chairman is looking for someone with proven experience supporting a high-net-worth individual or family in a similar personal PA or family office capacity, who can be relied upon absolutely with sensitive personal, financial and family matters. The ideal candidate will be a confident, resourceful and adaptable professional who is comfortable working closely with the Executive Chairman in a private household environment.

Key Responsibilities

Personal & Family Office Support

Act as a trusted, confidential support to the Executive Chairman across a range of personal and family matters.
Manage and coordinate the Executive Chairman's personal diary, appointments and engagements, prioritising and planning ahead.
Assist with personal financial matters, including liaison with banks, private bankers, wealth managers, accountants and other advisers.
Support with insurance matters (home, motor, travel, medical and other personal policies), including renewals, queries and claims.
Organise and maintain personal documents, records and correspondence, ensuring strict confidentiality and easy retrieval.
Arrange domestic and international travel and holidays for the Executive Chairman and his family, including flights, accommodation, transport, detailed itineraries and travel packs.
Book restaurants and personal appointments (medical, dental, personal services etc.), managing all related logistics.
Undertake shopping, errands, gifting and other personal tasks as required.
Source and procure products and services on behalf of the Executive Chairman, ensuring quality and value.
Manage memberships, subscriptions and personal accounts.
Help coordinate care for the Executive Chairman's dogs, including feeding and liaison with vets, groomers or dog-sitters as needed.
Liaise with household staff, contractors and suppliers on behalf of the Executive Chairman, following up to ensure tasks are completed.
Take responsibility for the overall presentation of the house, working with the cleaner to ensure consistently high standards of cleanliness and tidiness are maintained, and stepping in personally on occasion where needed.
Make personal and family arrangements, including for family events and occasions.
Act as a first point of contact for the Executive Chairman, screening calls, emails and correspondence and responding or redirecting appropriately.
Use judgement and initiative to deal with matters directly where appropriate, knowing when to escalate or check in with the Executive Chairman.
Adaptable to the Executive Chairman’s busy and fast-moving schedule, and priorities which can change during the day.
Proactively identify issues before they arise, putting in place practical, timely solutions.
Be available and responsive to urgent or time-sensitive personal matters outside of normal working hours, including evenings and weekends.

Business Support

Provide diary coordination and appointment scheduling for the Executive Chairman's business commitments, where these interact with his personal schedule.
Assist with organising occasional business meetings, travel or events on behalf of the Executive Chairman.
Liaise with contractors, suppliers and delivery providers in connection with the Executive Chairman's property business, coordinating access and logistics as required.
Prepare, file and manage documents, expenses and correspondence relating to business matters as required.
Undertake any other duties or ad hoc tasks reasonably requested by the Executive Chairman.

Skills, Knowledge & Experience

Significant proven experience as a Personal Assistant, ideally supporting a high-net-worth individual, family office or C-suite executive in a personal capacity.
Confidential, trustworthy and discreet at all times
Exceptional organisational skills and strong attention to detail.
Comfortable managing personal financial administration and liaising confidently with banks, insurers and professional advisers.
Excellent communication and interpersonal skills, with the ability to build trusted relationships.
Good IT skills, including Microsoft Office.
Ability to work independently, use sound judgement and take initiative.
Flexible and adaptable, with a positive, can-do attitude and willingness to respond to matters arising outside of normal hours.
Professional, calm under pressure and able to manage competing priorities.
Resilient and even-tempered, with the emotional intelligence to read and adapt to changing moods and priorities, and the ability to stay focused, good-humoured and unfazed under pressure.
A proactive problem-solver who takes ownership and enjoys finding solutions.
Comfortable and happy around dogs, the Executive Chairman's own pets are part of daily life at the property.
Full, clean UK driving licence preferred, given the location of the role.
An interest in luxury lifestyle, travel and current trends would be advantageous.

Location & Working Pattern

The role is based at the Executive Chairman's private residence in Stapleford Tawney, Essex, and the successful candidate will need to be based there for the majority of their working time. Some tasks may be carried out remotely where appropriate. The role can be structured on a full-time or part-time basis, with flexibility for the right candidate, and will require occasional availability outside of normal working hours, including evenings and weekends to respond to matters as they arise.
