We create websites, digital experiences and technology solutions that help hospitality businesses attract, engage and retain guests.
As our client base continues to grow, we are looking for an organised and personable Client Services Coordinator to become the central point of communication between our clients and our team.
The Role
This is a varied role that combines client communication, project administration and general business support.
You will become the first point of contact for many of our clients, helping to ensure projects run smoothly, deadlines are met and clients remain informed throughout the delivery process.
The ideal candidate will be highly organised, confident communicating with clients and comfortable working across multiple projects simultaneously.
Key ResponsibilitiesClient Communication
- Answer incoming telephone calls professionally and efficiently.
- Respond to client enquiries via email.
- Provide project updates and progress reports to clients.
- Chase outstanding content, imagery and information required for projects.
- Coordinate meetings and appointments with clients.
Project Coordination
- Maintain project information within our internal project management system.
- Ensure tasks are assigned and progressing through the agency workflow.
- Monitor project timelines and assist in keeping projects on schedule.
- Liaise with designers, developers and external contractors where required.
Website Content Administration
- Upload client-provided content, images and documents to websites.
- Format and organise website content ready for development and design teams.
- Carry out basic content updates across client websites.
- Ensure content supplied by clients is complete and ready for implementation.
Office & Business Support
- Manage calendars and appointments.
- Organise internal meetings and reminders.
- Maintain accurate records and project documentation.
- Support general administrative tasks across the business.
About You
We’re looking for someone who is:
- Friendly, professional and confident speaking with clients.
- Highly organised with strong attention to detail.
- Comfortable managing multiple priorities.
- Proactive and able to work independently.
- A strong written communicator with excellent grammar and spelling.
- Comfortable using digital systems and learning new software.
Desirable Experience
While not essential, experience with any of the following would be beneficial:
- Familiar with dashboarded systems
- Proficient with Grammar and Communication
- Familiar with Mac OS
- Basic understanding of websites and digital marketing.
