An Administration Assistant is required to support 0–19 Children’s Services within Derby City. The post holder will provide comprehensive administrative support, including responding to enquiries via ChatHealth and managing clinic appointments using S1.
The role will also involve assisting with filing and document management, and completing a range of general administrative duties to support the effective delivery of services.
To answer calls via ChatHealth for 0–19 Children’s Services , including booking and rearranging clinic appointments using S1 .
To undertake the scanning and processing of electronic documents and provide comprehensive clerical support to 0–19 clinicians .

Key Responsibilities
Provide a high‑quality, confidential, and efficient administrative service to the 0–19 Public Health Nursing Teams, ensuring effective support is delivered to all relevant service users.
Maintain and update electronic child health records , ensuring all information is accurate, current, and compliant with recognised guidelines and data governance requirements.
Manage the transfer of child health records in and out of area , adhering strictly to agreed protocols and information governance standards.
Respond to telephone and ChatHealth enquiries from parents and health professionals, taking accurate messages and ensuring queries are passed to the appropriate professionals in a timely manner to support service delivery.
Assist in the collation and preparation of statistical information and data , as requested, to support reporting requirements and continuous service improvement.
Open, sort, and distribute incoming mail, and scan and upload relevant documentation to the Electronic Patient Record system in line with Trust procedures.
Undertake additional administrative duties as delegated by the Admin Manager to support the smooth and effective running of the service.
