About the Role
We are looking for an organised, customer-focused, and proactive Groups & Reservations Coordinator to join our team on a permanent, part-time basis. Working 25 hours per week, this flexible role is ideal for someone with hotel reservations experience who enjoys providing excellent customer service while managing group bookings efficiently.
You will be responsible for coordinating group reservations from enquiry through to arrival, liaising with clients and internal departments to ensure a seamless guest experience.
Key Responsibilities
- Manage group accommodation enquiries and reservations.
- Prepare quotations, contracts, and booking confirmations.
- Coordinate rooming lists, booking amendments, and payments.
- Liaise with sales, reception, housekeeping, and other hotel departments to ensure group requirements are met.
- Monitor room availability and assist with inventory management.
- Maintain accurate reservation records within the hotel's booking system.
- Respond promptly and professionally to telephone and email enquiries.
- Ensure all bookings are processed accurately and in line with hotel policies.
- Build positive relationships with clients, travel agents, event organisers, and corporate clients.
- Support the Reservations and Sales teams with administrative duties as required.
Skills & Experience
- Must have previous experience in hotel reservations, groups, or front office operations.
- Excellent organisational and time management skills.
- Strong communication and customer service skills.
- Ability to work independently and manage multiple priorities.
- Good attention to detail and accuracy.
- Confident using hotel reservation systems (such as Opera, Guestline, or similar) and Microsoft Office.
- A positive, flexible, and team-oriented approach.
Working Hours
This is a permanent part-time position working 25 hours per week. We offer flexible working hours, with the exact working pattern to be agreed with the successful candidate to meet both individual and business needs. Occasional additional hours may be available during busy periods.
