Job Overview
We are seeking a friendly, organised and enthusiastic Administrator to join our team on a part-time basis. As a central member of the team, you will provide essential administrative support across the business, helping to deliver an excellent experience for our clients while supporting the efficient operation of the laboratory. Working closely with the Office Manager, Laboratory Manager, Technicians, Pathologists and Sales team, you will contribute to the smooth day-to-day running of the laboratory and help uphold the high standards of service for which we are known.
Duties
- Acting as a primary point of contact for client enquiries by telephone and email
- Providing administrative support to the Office Manager and Laboratory Manager
- Processing and entering laboratory submission forms accurately
- Updating and managing laboratory results and client records
- Organising courier collections of samples from veterinary practices
- Scanning, uploading and filing invoices and other business documents
- Supporting the Sales Representative with client communications, reports and administrative duties
- Liaising with veterinary practices, couriers and laboratory staff as required
- Undertaking other administrative tasks as required to support the needs of the business
- Assisting with invoice preparation and processing, and supporting general accounts tasks as required
- Supporting marketing activities, including social media and client communications
Desired Skills and Competencies
- Previous experience in a customer service and/or administrative role
- Excellent communication skills, both written and verbal
- Friendly, professional and confident telephone manner
- Strong organisational and time management skills, with the ability to prioritise workloads effectively
- Excellent attention to detail and accuracy
- Competent in Microsoft Outlook, Excel and Word
- Ability to work efficiently in a busy environment and manage multiple tasks
- Able to work independently whilst also contributing positively as part of a small team
- Flexible and willing to assist with a variety of tasks as business needs require
- Positive attitude, strong work ethic and willingness to learn
- An interest in marketing and digital communications would be advantageous
Experience within a veterinary, healthcare or laboratory environment would be advantageous, but is not essential.
Working Hours
20 hours per week. Core working times are generally Monday to Friday, 9:00am–1:00pm, although some flexibility in working patterns may be considered for the right candidate. Flexibility is required, as there may be occasions where additional hours are needed to cover sickness, annual leave or business requirements. Total hours worked would not normally exceed 25 hours per week, and any hours worked above the contracted 20 hours will be taken as time off in lieu (TOIL).
