Administration & Chaperone Coordinator
Location: Space 2B Studios, George Street, Melton Mowbray, Leics. LE13 1AX
Start Date: 1 August
Hours: 12 hours per week, worked flexibly in your own time, 52 weeks per year
Salary: £8,736 per annum (£728 per month)
Additional Hours: Additional pay available for chaperoning duties at performances, events, and shows.
About the Role
We are seeking an organised, proactive, and highly efficient Administration & Chaperone Coordinator to support the smooth operation of a successful Performing Arts School. This role combines administrative responsibilities with the coordination of performances and chaperoning requirements, making it ideal for someone who enjoys working behind the scenes to ensure excellent experiences for students, families, and staff.
The successful candidate will be self-motivated, trustworthy, able to manage their workload independently, and confident communicating with parents, staff, licensing authorities, and external suppliers.
Key Responsibilities
Administration
- Manage enquiries and respond to emails in a professional and timely manner.
- Coordinate and complete the onboarding process for new students.
- Prepare and issue monthly invoices and maintain accurate family payment records.
- Maintain student and family records within administrative systems.
- Use Dancebiz, Trello, Excel, and other administrative systems to support the efficient running of the school.
- Maintain organised digital and physical records, including the secure storage of staff documentation.
Compliance & Licensing
- Apply for child performance licences and relevant exemptions as required.
- Maintain records of teacher and chaperone licences.
- Monitor licence expiry dates and issue reminders at least six months before renewal is required.
- Ensure all compliance documentation is accurate and up to date.
Shows & Events
- Coordinate and schedule chaperones for performances.
- Act as Head Chaperone for PSA shows and performances.
- Liaise with parents, staff, venues, and chaperones to ensure events run smoothly.
- Support the organisation and administration of school performances and productions.
Manage Stores - Costumes, Props & Supplies
- Organise the collection, distribution, and return of hired or borrowed costumes and props.
- Order PSA bags for new students, monitor stock levels for PSA t shirts and report to Dance School Principal.
- Maintain organised storage areas.
Person Specification
The ideal candidate will:
- Have a positive, can-do attitude and the ability to work independently.
- Demonstrate exceptional organisational and time-management skills.
- Be highly proactive and able to use their own initiative.
- Be able to manage multiple projects and deadlines simultaneously.
- Possess excellent communication and customer service skills.
- Have strong attention to detail and accuracy, particularly when handling records and compliance documentation.
- Be confident using digital administration systems and Microsoft Office applications.
- Be reliable, professional, and committed to maintaining confidentiality.
- Have previous experience in administration, event coordination, education, performing arts, or a related field (desirable but not essential).
- Previous safeguarding training and first aid training (desirable but not essential as training can be provided).
