Summary
We are seeking a dedicated Sales and Project Coordinator to join our team in Wells, Somerset. This customer facing role is vital in building customer relationships, meeting deadlines, prioritising customer requirements and processing administrative activities to keep the business running day to day.
Responsibilities
- Process new & amended customer orders for all customers onto internal systems.
- Prepare order confirmations and communicate delivery schedules to customers.
- Resolve with the wider team and respond to any order queries from the client.
- Create reports in internal systems and ensure all customers receive all relevant reports
- Support with any componentry delivery issues
- Create and amend product BOM’s. Update BOM’s on specific work orders (WO’s)
- Maintain up to date dispatch dates which are communicated in a timely manner to customers via email and phone/teams calls.
- Ensure all customer queries regarding orders are processed within the business and replied to in a timely and professional manner.
- Find solutions to be able to load orders that are registered on ‘sales orders unable to process
- Build relationships with customers through telephone calls, emails and meetings.
- Serve as a primary point of contact for customers regarding orders, day to day matters and project status.
- Follow CPA for all projects and coordinate actions required with internal Specialists. Alert senior management if a Specialist does not conform.
- Update project trackers & open points documents, share internally and with clients as required to distribute actions, updates, and progress reports.
- Ensure Product Development Manager is updated on projects to enable risks to be identified and CPA to be reviewed.
- Create and amend job sheets according to Product Release Forms and Feasibility log & any changes to product during its lifecycle.
- Co-ordinate samples for projects and new business including deliveries to clients including packaging, tracking, and producing delivery notes.
- Request bulk for testing in line with CPA following approval of formulas, including stability, challenge and compat. Requesting packaging for testing where applicable.
- Support with requests for componentry samples and approved QC standards
- Raise cost requests for clients ensuring all details are clear for commercial team
- Input costings & R&D quotes into standardised quote templates and send as PDF to client. Ensure invoices are followed through
