Full job description

Location: Oxford, hybrid/office-based as agreed

Reports to: Managing Director

Contract: 10 month contract, part-time (20 hrs a week)

Salary: £30K - £35K pro-rata, dependent on experience

Start date: 1st October 2026

Role Overview

The Finance and HR Assistant will provide reliable administrative and transactional support across the finance and people functions. The role is well suited to someone highly organised, numerate and discreet, with strong attention to detail and the confidence to work with colleagues across the business.

This position will keep day-to-day finance processes running smoothly while supporting HR administration, recruitment coordination, onboarding, employee records and internal reporting.

Key Responsibilities:

Finance Administration

· Oversee all day-to-day transactional activity in Xero

· Raise and send all customer invoices, dealing with customer portals where required

· Process supplier invoices and expense claims accurately and in a timely manner

· Carry out credit control

· Reconcile banks daily

· Manage the monthly company payroll via Xero Payroll

· Support month-end routines, basic reporting and preparation of information for management accounts.Respond to internal finance queries and liaise with customers and suppliers where required.

HR Administration

· Maintain accurate employee records via the Ecoveritas’s HR portal (HiBob), ensuring information is handled confidentially and in line with GDPR requirements.

· Support recruitment administration, including job advert coordination, candidate communication and reference requests.

· Prepare offer letters, contract paperwork, starter packs and other employee correspondence using approved templates.

· Coordinate onboarding tasks for new starters, including induction arrangements, right-to-work checks and equipment purchasing & setup.

· Record absences, holidays, contract changes and leaver information accurately.

· Provide first-line administrative support for routine employee queries, escalating sensitive or complex matters appropriately.

General Administration and Team Support

· Help maintain well-organised finance and HR inboxes, records and shared folders.

· Support process improvements that make finance and HR administration more efficient and reliable.

· Prepare simple reports, spreadsheets and trackers as required.

· Work collaboratively with colleagues across Ecoveritas, responding professionally and promptly to requests.

· Undertake other reasonable duties aligned with the level and purpose of the role.

Person Specification

Experience in finance, HR, and administration roles
Experience using HR systems such as HiBob, BrightHR, or similar.
Experience using finance systems such as Xero, Sage or similar.
Confident user of Microsoft Excel and Outlook
Clear written and verbal communication skills.
Organised, proactive and able to prioritise competing tasks.
Comfortable working independently while contributing to a supportive team environment.
Ability to handle confidential information with discretion and professionalism.
Strong numerical accuracy and excellent attention to detail
Knowledge of UK employment administration, recruitment processes and right-to-work checks.
Good understanding of payroll administration, VAT, and purchase and sales ledgers
