Our work matters to millions. It’ll matter to you too. Join our Highways team as an Office Manager on the A66 Site Compound in Penrith, Cumbria and you’ll be a big part of fascinating, complex, varied and meaningful work.
To provide a range of administration support to the project team and responsible for the effective management of office facilities and supporting administrative resources.
What you'll be doing
- Develop, implement and administer office management processes and systems to ensure the efficient and effective day-to-day running of the office.
- Manage desk allocation to optimise space utilisation and support team requirements.
- Oversee and administer booking systems for meeting rooms and EV chargers.
- Manage and coordinate the office cleaning team to maintain a safe and professional working environment.
- Arrange ad hoc hotel accommodation and travel bookings as required.
- Organise and coordinate on-site events and activities.
- Ensure full compliance with all security protocols and Health & Safety requirements.
- Procure office supplies and maintain adequate stock levels, ensuring timely replenishment.
- Monitor office equipment to ensure it remains fully operational, escalating and resolving faults with internal or external providers as required.
- Ensure statutory, safety and communication notices are displayed, accurate and up to date.
- Undertake additional ad hoc duties as required to support the wider team and operational needs
- Act as the first point of contact for visitors, providing a professional and welcoming front-of-house service.
- Manage reception activities including greeting visitors, issuing passes and ensuring adherence to site security procedures.
- Handle incoming calls, emails and enquiries, directing them appropriately and in a timely manner.
- Maintain reception area standards, ensuring a clean, organised and professional environment at all times.
- Coordinate visitor bookings and meeting arrangements, supporting a positive experience for all guests.
- Demonstrate and promote Balfour Beatty Values in all activities.
- Maintain a relentless focus on Zero Harm and contribute to a safe working environment.
- Support the delivery of Highways Sustainability initiatives and objectives.
Who we're looking for
The following qualities/experience are essential:
- Experience in managing a busy office environment
- Highly organised and able to work on own initiative
- Strong communicator able to communicate confidently with all levels of colleagues within the business
- Excellent team working skills and able to build relationships at all levels
- Ability to work well under pressure and to tight timescales
- Very strong customer focus
- Good IT Skills including Microsoft Office (Excel, Word and PowerPoint)
