Full job description

Overview

The Event Planner will be responsible for responding to and generating leads, quoting accurately, creating clear and accurate job sheets and achieving sales targets. The Event Planner will also be responsible for developing client relationships through the best possible customer service, and operating in a timely and organised fashion achieving all agreed KPI’s and deadlines. Some on-event work will be required.

Responsibilities

Sales

· Responding to all enquiries professionally and in the agreed timeframe

· Follow up on incoming calls/emails.

· Handling incoming sales enquiries, taking full client contact details and enquiry information, logging all data on EventWorks.

· Logging all meaningful client interactions in EventWorks.

· Meeting and exceeding call, viewing and revenue targets.

· Completing site visit appointments in line with company policy and providing accurate quotations.

· Encourage full usage of all facilities in the Tower Bridge venue to maximise sales.

· Providing sales data for internal sales reporting.

· Seek opportunities to develop the client base, eg call previous clients, cold call new clients

· Strive to hit all sales targets.

· Work to engage with and provide services to key target clients.

· Work to achieve individual targets and be rewarded by the bonus scheme.

· Ensure client relationships are developed to encourage repeat business

Operations

· Produce and administer accurate and detailed function sheets ensuring that all suppliers are aligned.

· Ensure effective communication to communicate the clients’ event requirements between the kitchen, logistics and planning team.

· Revise and amend quotes at the client’s requests in order to meet the clients’ bespoke requirements.

· Ensuring you are quoting and providing high-quality, effective and profitable events always.

· Monitor all long lead event enquiries with care and attention required in order to win business.

· Ensure all post event communication is clear and all additional costs are allocated to the event and billed to the client

· Act as the primary point of contact for clients during event delivery

· Cover duties of event manager for smaller, lower-revenue events

Client & Venue Care

· To actively build relationships with new and existing clients, and suppliers encouraging loyalty and repeat business.

· Manage clients effectively, providing a friendly, polite, and flexible service.

· Consistently strive to exceed their expectations and always go above and beyond client expectations.

· Engage with clients on a regular basis and maintain appropriate communication.

· Supported by the Manager implement a strategic client care plan.

· Maintain, improve and increase the client care plan as the company grows.

Financial

· To be proactive and reactive to new sales enquiries

· To have a clear understanding of the monthly and individual sales targets.

· Assist with the clients budgeting process, ensuring that events are delivered within allocated budget and to the correct company profit margins.

· Budget and execute events at the correct profit margin.

· Accurately budget for events.

Experience

Proven experience in event planning within the catering industry
Strong skills in upselling, time management, organisation, and communication
Familiarity with guest services standards and hospitality best practices
Experience in fundraising or managing charitable events is advantageous
Ability to work under pressure whilst maintaining attention to detail
Excellent organisational skills with the capacity to juggle multiple projects simultaneously
Previous experience in customer-facing roles that require effective communication skills
