Role Overview
We are seeking a proactive and highly organised Finance & Operations Assistant to support the day-to-day finance, operations, rent collection, legal administration, and compliance functions of the business.
Working closely with the Finance Manager and Operations Manager, you will act as a key liaison between the UK management team and our back-office support teams, ensuring that tasks are completed accurately, efficiently, and within agreed timescales.
This is a varied and rewarding role that offers exposure to finance, property management, operations, compliance, and business administration. The successful candidate will be expected to take ownership of their responsibilities, support ongoing projects, and contribute to the effective running of the organisation.
Key ResponsibilitiesFinance Support
· Assist in maintaining accurate financial records and supporting the day-to-day finance function.
· Act as a key point of contact between the UK management team and the back-office accounts team.
· Review work completed by the back-office team and assist in resolving finance-related queries.
· Provide cover and support for the Accounts Payable Associate during periods of annual leave, absence, or increased workload.
· Assist with the preparation of payment schedules, banking transactions, and cash flow monitoring.
· Support bank reconciliations and month-end processes.
· Assist with payroll processing and pension administration.
· Support the preparation of VAT returns and annual accounts.
· Prepare information and supporting documentation for accountants, auditors, lenders, and external advisers.
· Assist with budgeting, forecasting, management accounts, and month-end reporting.
· Maintain financial spreadsheets, reports, and supporting documentation.
· Support ad hoc finance projects and administrative tasks as required.
Accounts Receivable & Rent Collection
· Monitor rent accounts and outstanding balances across the property portfolio.
· Liaise with the back-office rent collection team and assist in resolving escalated matters.
· Communicate with tenants, guarantors, local authorities, housing benefit departments, and funding providers regarding outstanding rent balances.
· Review rent collection reports and support management in monitoring collection performance.
· Maintain accurate rent collection records and supporting documentation.
· Assist with arrears management and recovery activities.
· Respond to customer enquiries relating to rent accounts and tenancy matters.
· Prepare rent collection reports and management information as required.
Operations Support
· Coordinate property-related documentation and operational records.
· Assist with utilities management, supplier administration, and contractor communications.
· Support project administration and operational improvement initiatives.
· Liaise with contractors, suppliers, and internal departments to ensure actions are completed efficiently and within agreed timescales.
· Monitor action trackers and assist management in following up outstanding tasks.
· Prepare reports and updates for management meetings.
· Provide administrative support across multiple departments.
· Assist with operational projects and other business requirements as directed by management.
Legal & Compliance Administration
· Assist with property licensing applications, renewals, and local authority correspondence.
· Prepare and organise documentation relating to possession proceedings, statutory notices, court bundles, and compliance reviews.
· Liaise with councils, solicitors, contractors, and external agencies where required.
· Monitor compliance deadlines and ensure records are maintained accurately and up to date.
· Support legal and compliance projects as directed by management.
Skills & ExperienceEssential
· Previous experience in finance, administration, operations, compliance, or a similar role.
· Proficient in Microsoft Excel and Microsoft Office applications.
· Excellent organisational and time management skills.
· Strong attention to detail and accuracy.
· Excellent written and verbal communication skills.
· Ability to manage multiple priorities and work to deadlines.
· Ability to work independently and collaboratively within a team environment.
· Strong problem-solving and coordination skills.
Desirable
· Experience using Xero or similar accounting software.
· Experience within the property, housing, construction, or real estate sectors.
· Knowledge of payroll, VAT, bookkeeping, or rent collection processes.
· Experience working with offshore or back-office support teams.
· Experience dealing with local authorities, compliance requirements, or legal administration.
· AAT qualification or currently studying towards AAT or ACCA.
