About the role
Are you a highly organised administrator who thrives on planning, coordination and keeping operations on track?
We’re looking for an HGV Scheduling Coordinator to play a critical role at the heart of our fleet operations. In this fast-paced and high-impact position, your ability to plan, prioritise and communicate effectively will ensure our vehicles remain compliant, roadworthy and audit-ready at all times.

What you'll be doing
- Plan and coordinate all HGV maintenance, inspections and testing, ensuring full compliance with regulatory deadlines
- Schedule bookings with depots, drivers and operational teams, maintaining clear and timely communication
- Manage fleet compliance systems, ensuring records are accurate, up to date and audit-ready
- Monitor daily dashboards, identifying risks such as overdue inspections or missed appointments
- Liaise with workshops and suppliers to secure bookings, documentation and inspection results
- Quickly resolve scheduling issues including cancellations, no-shows and failed inspections
- Proactively minimise vehicle off-road time (VOR) through effective forward planning
- Maintain strong audit trails aligned with DVSA, ISO and internal compliance standards
- Escalate risks where required and work collaboratively to ensure fleet legality is protected
- Support ongoing improvements to fleet scheduling and compliance processes
Who we're looking for
Essential:
- Strong administrative, planning and scheduling experience
- Excellent organisational skills with the ability to manage multiple priorities
- Confident communicator with strong stakeholder coordination skills
- High attention to detail and accuracy
- Proficient in Microsoft systems including Outlook and Excel
- Proactive, solutions-focused mindset with the ability to work under pressure
Desirable:
- Experience within fleet, transport or HGV compliance environments
- Understanding of DVSA requirements, PMI cycles or tachographs
- Experience working with data, reporting or compliance systems
