Overview

Kainé is a Leicester music and community charity. We have been going since 2002, we reach around 13,000 people a year through choirs, schools work, youth and elderly programmes.

We have a demanding six-month plan with targets and not much time to hit them in. This role exists to support with the administrative layer of this plan. In this vital role, you will be the backbone of our these operations, ensuring that administrative processes run smoothly and efficiently. Your proactive approach and attention to detail will help foster a productive environment, supporting our team and enhancing overall workflow. This paid position offers an exciting opportunity to develop your skills in a fast-paced, supportive setting where your contributions truly make a difference.

Responsibilities

Supporting the Choir & Programmes Lead:
Recruitment admin for the flagship choir — tracking interest, sending out rehearsal details, chasing replies.
Rehearsal logistics and attendance records for the flagship choir and the three community choirs.
Membership lists and term subscriptions across the community choirs.
Logging every partnership conversation and booking enquiry, so nothing gets lost between "had a chat" and "confirmed".
Support with the administration of our next major event, the Festival of Choirs.

Supporting the Grants & Operations Lead:

Keeping the funding tracker and calendar current — what has been applied for, decision dates, reporting dates.
Building the evidence bank: attendance figures, photos, consent forms, participant quotes
Chasing paperwork for existing funder reporting deadlines.
Manage incoming calls with professionalism, demonstrating excellent phone etiquette to assist clients, vendors, and team members.
Provide exceptional administrative support to various departments as needed, demonstrating strong organizational skills and adaptability.

Who this suits

Someone organised who can work unsupervised. You do not need charity experience, and you do not need to know anything about music or fundraising. If you can keep a spreadsheet honest, chase people without irritating them and enjoy the choir and events side of things, you will do well here.

Skills

Proven office experience with a strong understanding of administrative procedures.
Excellent organizational skills with the ability to prioritize tasks effectively in a busy environment.
Organised and detail-focused.
Comfortable working independently.
Confident chasing people, by phone, email or in person.

timeline:

Start ASAP, likely mid-September 2026. Fixed term to end of December 2026 (approx. 14–16 working weeks, with a break over the Christmas closure)

Pay: £14.00 per hour
