Job Purpose:
This exciting role will see you joining our successful Conveyancing team, playing a key role in keeping the department’s day to day administration running smoothly through proactive, efficient, accurate administration and operational support.
The role focuses on the effective management of lender panel portals and related accreditations, maintaining key registers and data, coordinating meeting administration, and supporting colleagues with access and onboarding to key systems (e.g., lender portals and Land Registry). The postholder helps ensure processes are followed, information is kept accurate and up to date, and the department can deliver a consistent, high-quality service to clients and stakeholders.
Typical Activities:
Responsibility for: -
· Management of Lender Panels
· Independent Lender Panel Applications
· Law Society CQS Accreditation
· Maintenance of the Client list
· Weekly Data – calculation of data and dissemination to the appropriate people
· Fee data – preparation prior to departmental meetings and as requested.
· Coordination of departmental meetings
· Land registry activities
· Lawyer checker
· Management of Referral arrangements
· Landlord Deposit Scheme
· Updating the Panel number Information chart
· Updating and testing the property report template when required
ESSENTIAL AND DESIRABLE SKILLS, EXPERIENCE AND BEHAVIOURS
Essential:
· Proven administrative experience in a professional services environment (legal environment desirable). · Strong attention to detail and ability to maintain accurate records across multiple systems. · Confident communicator with the ability to build effective working relationships at all levels. · Ability to prioritise and manage a varied workload, meeting deadlines and working calmly under pressure. · High level of discretion and ability to handle confidential and sensitive information appropriately. · Good IT skills, including Microsoft Office (Outlook, Word, Excel) and the ability to learn new portals/systems quickly. · Proactive, organised and solutions-focused with a strong customer service mindset.
Desirable:
· Experience in a conveyancing or legal support role. · Familiarity with lender panel portals (e.g., LMS, Lender Exchange, ULS Connect) and/or panel application processes. · Knowledge of Law Society CQS requirements and annual renewal processes. · Experience supporting Land Registry portal onboarding/administration.
