Reception is the first place most visitors enter Hampton School and our Receptionist is often the first member of staff they will encounter. Situated at a main school intersection, Reception at Hampton School is a busy hub for pupils, parents, visitors and staff.
The postholder will be people focused with the ability to multi-task, process information coming from various sources, problem solve, have excellent administration and communication skills and enjoy working in a busy environment.
Key responsibilities:
- Greet and help sign visitors in, informing relevant staff of visitors’ arrival, ensuring they are aware of safeguarding and fire drill information
- Responsibilities for visitors in event of a fire evacuation
- Answering telephone calls and directing them to the correct department
- Deal sensitively with pupils, parents and any other members of the public who contact the School, be it by telephone, letter or email, and being fully aware of relevant School policies at all times
- Receive items brought in by parents to be passed on to pupils and ensure items are collected/distributed
- Assisting pupils with lost property queries, and liaise with Hampton School Parents’ Association (HSPA) who run the lost property two lunchtimes a week
- AlleyCatz (uniform supplier) visit every fortnight for uniform order collection – assist as required
- Use spreadsheet with periods and rooms to locate missing pupils when required
- Monitoring info@ in box when required
- Check for trips going out for pupil registers and staff contact details
- Liaise with School Nurse when the Emergency Services are called and arrive on-site
- Directions for pupils around the School, particularly relating to room changes from timetable
- Liaise with afternoon receptionist regarding morning events and any crossover information during handover period.
Morning Specific responsibilities
- Open up Reception area at 7.15am each day
- Deal with any communications relating to late coaches or late pupils and pass messages on
- Liaise with Hampton Prep regarding Prep pupils on late coaches
- Accessing absence phone messages/emails regarding pupils and passing this information on
- Check visitor management system (Inventry) for any pupils signing in late and pass this information on
- Inform relevant staff if pupils sign out for appointments and there is no prior parental notification or if there are any other signing in/out irregularities
- Pre-checking of trips/sports teams so aware of any potential parental enquiries
- Helping pupils with room changes, timetable changes and general enquiries.
Other
- Assist with general administrative support to ensure the smooth running of reception
- To attend INSET training outside the school where appropriate to increase competence, proficiency and safety awareness
- To complete online EduCare and other courses to ensure legal compliance on issues
- To undertake any other duties as reasonably required by the School
- May be required to work outside of contractual hours to fulfil the responsibilities of the role and/or in the event of an emergency.
Person Specification:
The successful candidate will be able to demonstrate the following skills, qualifications and experience.
- A commitment to the paramount importance of the safeguarding and wellbeing of pupils
- A self-motivated individual who can demonstrate excellent listening, verbal and written communication skills. This person will be calm, confident, present themselves well and have strong social and communication skills, enabling them to deal politely and effectively with pupils, parents, staff and visitors
- The ability to maintain professionalism and confidentiality when dealing with sensitive information and business matters
- A professional and collaborative approach with the ability to work as part of a team and instil confidence
- Effective planning, administration and MS Office skills, with the proven ability to prioritise
- Previous experience of working in a customer focused environment would be an advantage
- Previous experience of working in a school reception environment would be an advantage
- Awareness of the importance of data security and confidentiality, treating all information received in an appropriate manner and at all times demonstrating discretion and complying with the provisions of data protection law and the School’s own privacy policies.

Hours and Holidays
Tuesday to Friday, 7.15am to 12.40pm. Term time plus one week in August (to cover either A Level or GCSE results’ week in agreement with the Line Manager) and INSET and Open days. Annual leave must be taken during the School holidays.
Salary
The salary will be £31,671 full time equivalent but will be pro-rated to reflect the term time, part time hours.

Training
Where necessary, to attend INSET training or undergo other training to increase competence, proficiency and safety awareness.
- To act as Fire Marshal and First Aider as required. Training will be provided
- Any other reasonable tasks required by the Deputy Head (Academic), The Headmaster and/or Bursar in association with the above role.
