We are looking for a highly organised and proactive Property Health, Safety & Maintenance Co-ordinator to support the management of a portfolio of leasehold residential blocks. This role is ideal for someone with experience in property management, facilities management, or housing who has a strong understanding of health and safety compliance and building maintenance within a leasehold environment.
You will play a key role in ensuring communal areas, building services, and statutory compliance requirements are effectively managed, while providing excellent service to leaseholders, residents, contractors, and managing agents. The successful candidate will coordinate maintenance works, monitor health and safety compliance, support service charge expenditure, and help maintain high standards across the portfolio.
Key Responsibilities
Leasehold Block Management Support
- Assist in the day-to-day management of a portfolio of leasehold residential blocks.
- Respond to enquiries from leaseholders, residents, managing agents, and contractors in a professional and timely manner.
- Conduct regular site inspections of communal areas and prepare reports identifying maintenance, health and safety, and estate management issues.
- Monitor compliance with lease obligations relating to communal areas and shared facilities.
- Support the delivery of excellent customer service to leaseholders and residents.
Health & Safety Compliance
- Coordinate and monitor statutory compliance requirements across residential blocks, including:
- Fire Risk Assessments and associated actions
- Emergency lighting inspections
- Fire alarm servicing
- Lift inspections and servicing
- Asbestos management
- Legionella risk assessments
- Electrical safety inspections
- Door entry and security systems maintenance
- Maintain accurate compliance records and ensure all certification remains current.
- Monitor and track remedial works arising from inspections and risk assessments.
- Support the implementation of health and safety policies and procedures.
Maintenance & Contractor Management
- Coordinate reactive repairs and planned maintenance works for communal areas and building infrastructure.
- Arrange contractor attendance, obtain quotations, and monitor works through to completion.
- Ensure contractors comply with health and safety requirements and contractual obligations.
- Monitor service standards and contractor performance.
- Assist in planning and coordinating cyclical maintenance programmes and major works projects.
- Maintain accurate records of repairs, maintenance activities, and contractor documentation.
Service Charge & Budget Support
- Support the preparation of maintenance and compliance information for service charge accounts and annual budget reviews.
- Obtain competitive quotations in accordance with procurement procedures.
Administration & Reporting
- Maintain property management, compliance, and maintenance databases.
- Produce regular reports on compliance performance, outstanding repairs, and contractor activity.
- Ensure all property records and documentation are accurately maintained and readily accessible.
- Support the preparation of reports for residents' meetings, directors' meetings, and client reviews where required.
About You
Essential Requirements
- Experience within leasehold block management, property management, housing, facilities management, or a related field.
- Good understanding of residential property maintenance and health and safety compliance requirements.
- Strong organisational skills with the ability to manage multiple priorities.
- Excellent communication and customer service skills.
- Ability to build positive relationships with leaseholders, residents, contractors, and colleagues.
- Proficient in Microsoft Office and property management systems.
- Full UK driving licence and access to a vehicle
Desirable Requirements
- Knowledge of leasehold legislation and service charge administration.
- Experience of managing contractors and maintenance programmes within residential blocks.
- IRPM, ARMA, IOSH, NEBOSH, or equivalent property/health and safety qualification.
- Understanding of Section 20 consultation processes and major works projects.

Pay: £27,000.00-£35,000.00 per year
