Tristan D Sirman Ltd is an entrepreneur-led business specialising in workplace consultancy, property and investment activities. Based in a characterful three-storey office in South Kensington, we are in a period of growth and change, with a varied mix of client, property, operational and personal administration needs.
The role
We’re looking for a proactive and highly organised Personal Assistant to support across business and personal matters. This role combines direct support to the Director, line management of the Office Administrator, operations support and practical problem solving. It’s ideal for someone who enjoys variety, takes ownership and is comfortable switching between diary management, client liaison, contractor follow-up, bookkeeping coordination and hands-on office tasks.
You’ll help keep priorities moving, protect the Director’s time, follow up on actions and support the smooth running of the office. The Director has ADHD, so the role suits someone who understands, or is willing to learn, how to support a neurodivergent working style through structure, patience, clear communication, proactive reminders and practical systems.
Key responsibilities
Principal and diary support
- Manage the Director’s calendar, appointments, reminders and daily priorities, using clear systems that support focus, follow-through and decision-making.
- Act as the point of contact between the Director and other employees in the business.
- Coordinate meetings, prepare agendas, take notes and follow up on actions in a concise, structured way.
- Manage travel bookings, accommodation, and transport arrangements.
- Support email, phone, and correspondence management.
- Handle confidential business and personal information with discretion.
- Conduct research, gather information, and prepare short reports or briefing notes.
Business and project administration
- Track actions across projects and follow up with internal teams, suppliers and external partners.
- Assist with project coordination, documentation, and progress updates.
- Help create and maintain simple processes, checklists and standard operating procedures that make tasks easier to start, track and complete.
- Support procurement, supplier coordination and record keeping.
- Identify practical improvements that save time, reduce cost or improve consistency.
Office and facilities coordination
- Act as a professional first point of contact for visitors, clients, vendors and contractors.
- Keep the office organised, presentable and well supplied.
- Coordinate maintenance, cleaning, utilities, deliveries and contractor visits.
- Help manage access, security procedures and shared office areas.
- Spot issues early and take ownership of practical fixes.
Finance and records support
- Prepare and track expenses.
- Support bookkeeping administration and liaise with the accountant when needed.
- Keep accurate records, receipts and administrative files.
Personal administration
- Support personal scheduling, bookings, errands and household-style admin where required such as shopping and medical reminders.
- Coordinate personal appointments, travel and follow-up tasks.
- Provide flexible support for ad-hoc priorities.
What we’re looking for
- At least two years experience as a Personal Assistant, Executive Assistant, Office Manager, Office Administrator or similar role.
- Excellent organisation, follow-through and time management, with the ability to create structure for a busy Director with ADHD.
- Fluency in English with strong written and verbal communication.
- High attention to detail and confidence managing competing priorities.
- Professional discretion, empathy and sound judgement with confidential and personal matters.
- Proactive, practical and comfortable getting hands-on, including anticipating reminders, priorities and next steps.
- Confident using Microsoft 365, especially Copilot, Sharepoint, Planner, Outlook, and Excel.
- Comfortable dealing with clients, contractors, suppliers and professional advisers.
- Experience in small businesses, property, consulting, operations, or construction would be helpful.

Working pattern
- Location: In person, South Kensington, London.
- Schedule: 16 hours a week, with some flexibility when priorities require it.
- Contract and pay: 3-month contract, £26,000 pro rata
