Office Administration Team Leader

We are currently expanding our team and are recruiting a Team Leader of our Office Administration team to join our City Centre office and we are happy to consider both full-time and part0time applicants.
The Office Administration Team Leader is responsible for coordinating the day-to-day activities of the administration team, ensuring that administrative services are delivered efficiently, accurately and to a consistently high standard. The role provides first-line support, guidance and supervision to the team, helping to maintain effective office processes, excellent internal service levels and a professional working environment.
Successful applicants will report to the Central Services Division Head and will be responsible for the following:
· Lead, support and coordinate the daily work of the office administration team, ensuring tasks are completed accurately and within agreed timescales.
· Act as the first point of escalation for administrative queries, workload issues and day-to-day operational matters.
· Allocate work, monitor progress and help prioritise team workloads to support smooth office operations.
· Provide guidance, coaching and support to team members, promoting high standards of performance, professionalism and customer service.
· Support induction, training and ongoing development of administration staff, identifying skills gaps and sharing best practice.
· Review and improve administrative processes, procedures and systems to increase efficiency, accuracy and consistency.
· General administrative duties.
· Co-ordinating office equipment repairs and maintenance.
· Maintain accurate records, databases and filing systems in line with organisational requirements and data protection obligations.
· Prepare reports, correspondence, meeting notes and other documentation as required.
· Coordinate office supplies, equipment, post, stationery and general office resources to ensure the team has what it needs to operate effectively.
· Liaise professionally with colleagues, managers, clients, suppliers and other stakeholders, responding to enquiries and directing matters appropriately.
· Support the planning and coordination of meetings, appointments, events and travel arrangements where required.
· Assist with monitoring service standards, resolving issues and ensuring deadlines are met.
· Contribute to a positive, collaborative and organised office environment.

· Proven experience in an Office Manager, Administrative Assistant, or similar type of role.
· Strong organisational and time management skills.
· Excellent written and verbal communication skills.
· Experience of working in partnership with various stakeholders.
· High level of accuracy and attention to detail.
· Customer service focused with the ability to work collaboratively with others and to remain calm under pressure.
· Ability to manage and prioritise time to work to various schedules and deadlines.
· Team player who can also work independently and under their own initiative.
· Excellent IT skills including excel, outlook and word.
· The ability to maintain confidentiality and to exercise discretion.

Pay: £28,000.00-£30,000.00 per year
