ANOTHER A STORY

Another A Story designs and produces brand experiences for clients such as Hermès, Chanel, Dior, Cartier, Drunk Elephant,

Breguet and many more.

The experiences range from influencer trips to pop up shops, event set ups, installations and lounge activations. The company

has offices in London, New York, Los Angeles, Paris, and presence in Dubai, Miami.

Our team of 50+ consists of designers, producers, coordinators and a finance and operations team.

Job Title: Studio & Resource Coordinator - London

Working Pattern: 5 days a week in the office

Reporting Into: Head of People & Global Operations

Roles & Responsibilities

We're looking for a Studio & Resource Coordinator to support the smooth day-to-day running of our studio and the resourcing of

our creative and production teams. This is a varied, hands-on role sitting at the intersection of office operations, resource

planning, and freelance talent management - ideal for someone who thrives on keeping multiple moving parts organised and is

energised by being at the centre of a fast-paced creative studio. You'll work closely with the Head of People & Global Operations

supporting our resourcing platform (Float), the freelance talent database, freelancer onboarding, finance administration, and

production logistics - all while helping keep the studio running smoothly day to day.

Office Support

Assist with the office snacks order and refill

Take care of the bi-weekly breakfast

Take care of the bi-weekly drinks & nibbles

Assist with team birthdays (cards, gifts, cakes)

Send monthly meter readings to the landlord (gas, electricity, water)

Assist with office tidiness

Assist with IT support

Assist with GF tenants

Help with office maintenance when repairs are needed

Resource Management Assistance

Support the day-to-day administration and upkeep of Float, ensuring resource plans remain accurate and up to date

Create and maintain new project entries, including project codes and associated information

Add and manage team member profiles within Float

Update freelancer allocations and booked days in line with changing project scopes and resource requirements

Creative Freelance Talent Database

Maintain and continuously update the creative freelance talent database across all creative disciplines

Record and track new freelance talent within Monday.com, ensuring profiles are complete and accurately documented

Keep freelancer records current, including availability, day rates, contact information, experience notes, and previous

engagements

Research and identify new freelance talent, preparing profiles and recommendations for review by the wider team

Freelancer Onboarding & Coordination

Support the onboarding process for freelance talent, ensuring a smooth and efficient experience

Prepare freelancer agreements and collect all required documentation

Coordinate freelancer bookings within Float and ensure resource schedules are updated accordingly

Liaise with internal teams to arrange IT access, email setup, and other onboarding requirements

Finance & Administrative Support

Assist with the collection, logging, and organisation of freelancer invoices for approval and processing

Maintain accurate invoice trackers and supporting documentation

Provide freelancers with invoicing guidelines and ensure all required information is submitted correctly

Support the wider team with ad hoc administrative and operational tasks as required

Admin Support & Maintenance

- SOW documents - drafting, sharing, filing

Vendor and supplier databases

IATA commissions

Trade accounts

Gifting for client birthdays, milestones, and holidays

Production Support

Sourcing and ordering

Inventory assistance & management

Storage management

Live and onsite support

Previous experience in an office coordination, studio operations, or production assistant role, ideally within a creative,

production, or events environment

Highly organised, with strong attention to detail and the ability to manage multiple priorities at once

Comfortable using, or quick to learn, resource management and database tools such as Float and Monday.com

Strong written and verbal communication skills, with a professional and friendly manner when liaising with freelancers,

vendors, and internal teams

- A proactive, can-do attitude - happy to get hands-on with everything from stocking the kitchen to chasing an invoice

Discretion and good judgement when handling freelancer and financial information

A genuine interest in the creative production and experiential events industry
