Job Summary
We are seeking a highly organised and efficient Administrative Assistant to support our team with daily office operations. The ideal candidate will possess strong computer skills, excellent communication abilities, and a keen eye for detail. This role offers an opportunity to develop professional skills within a dynamic environment, contributing to the smooth functioning of our organisation. The position is paid and suitable for individuals with prior administrative experience or those eager to build their career in office administration.

Responsibilities

Manage incoming calls with professional phone etiquette, directing enquiries appropriately
Organise and maintain files, records, and documentation in both physical and digital formats
Perform data entry tasks accurately using Microsoft Office applications, Google Workspace, and QuickBooks
Assist in scheduling appointments, meetings, and events, ensuring all logistics are coordinated effectively
Prepare correspondence, reports, and presentations as required
Support invoicing and billing processes through QuickBooks and other accounting tools
Handle general administrative duties such as photocopying, scanning, and ordering office supplies
Collaborate with team members to improve office procedures and workflows

Skills

Proven office experience with a solid understanding of administrative functions
Proficiency in computer skills including Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Docs, Sheets, Calendar), and QuickBooks
Strong organisational skills with the ability to prioritise tasks efficiently
Excellent typing speed and accuracy for data entry tasks
Demonstrated clerical experience with attention to detail
Exceptional phone etiquette and communication skills
Ability to work independently as well as part of a team in a fast-paced environment
Familiarity with data management systems and general office equipment
